Job Summary:



Deputy Manager

Financial Operations plays a key role in ensuring the financial health and sustainability of Dunfield House Limited. This position is responsible for budgeting, reporting, cash flow management, and overseeing day-to-day financial operations, including supervision of the bookkeeper.

This position also plays an important role in the overall management of Dunfield House, ensuring that smooth day-to-day operations are maintained. This requires working in close partnership with the General Manager.

Key Financial Responsibilities

Budgeting & Forecasting: Prepare and manage budgets and produce regular forecasts of income and expenses to support financial planning. Financial Reporting: Produce and review monthly management reports and financial statements to monitor business performance, reporting these to the Board of Directors. Year-End Financial Statements: Prepare accurate year-end financial statements and liaise with independent examiner to ensure timely completion and compliance. Cash Flow Management: Monitor and manage monthly cash flow with the bookkeeper, ensuring sufficient funds for daily operations and upcoming expenses. Cost Control: Monitor and control operational costs across accommodation, catering, and ground maintenance. Revenue Management: Track revenue from bookings and services and identify opportunities to increase income, prepare quotes for bookings, and liaise with the bookkeeper to ensure invoices are raised and payments received. Financial Compliance: Follow financial policies, maintain accurate records, and ensure adherence to regulations and internal controls. Data-Driven Insights: Use financial information to support operational decisions and long-term planning. Team Oversight: Supervise the bookkeeper to ensure accurate day-to-day financial records and smooth operations.
Management and Operations Responsibilities

Working in close partnership with the General Manager. Stand in for the General Manager during leave or illness and working closely with them (but on opposite shifts) to oversee daily operations. Act as duty manager when rostered in this role. Liaise with potential group leaders ensuring that they have the necessary information for their stay, providing all documentation and communicating all information required by their team in a timely manner. Respond to enquiries, telephone calls and email within 3 hours of receiving the request. Work in partnership with the General Manager with regards to the following: Ensure Dunfield is prepared and ready for guests when they arrive, and that the property is secure when they have left. Liaise with group leaders to build strong and positive relationships. Welcome prospective guests, representatives and visitors to Dunfield. HR matters relating to the overall management and development of the staff who work at Dunfield House including, the recruitment of new staff, carrying out regular staff reviews, arranging training as necessary, and dealing with any disciplinary and absence procedures as required. Allocate staff tasks, monitor performances and resolve operational issues. Provide on-site group support including meet and greet groups on their arrival and manage issues which arise during their stay. At times, when the need arises, be prepared to fill in by helping with other roles. This might include, for example, laundry, cleaning and washing after a group's meal.
Skills & Qualifications:

Proven experience in financial management within hospitality or a related industry. Strong understanding of budgeting, forecasting, and financial reporting. Proficiency in accounting software and Microsoft Excel. Excellent analytical, organizational, and communication skills. Leadership experience, with the ability to supervise and mentor staff. Knowledge of financial compliance and regulatory requirements. Proven experience of leading, managing and motivating a small team delivering excellent service to customers. Knowledge of relevant Health and Safety legislation and an awareness of the risks associated with overnight stays and preparation and serving of food and drinks

Working Conditions:



Standard office environment. Morning/afternoon shift pattern. Weekends as required by the business.
