We are seeking a highly organised and proactive Deputy Manager to support the daily operations of our office. The ideal candidate will possess strong administrative skills and a keen eye for detail, ensuring that all tasks are completed efficiently and effectively. This role is pivotal in assisting the management team and fostering a productive work environment.

Duties

Assist in overseeing daily office operations to ensure smooth functioning. Manage scheduling, appointments, and correspondence to maintain effective communication within the team. Maintain accurate records through data entry and clerical tasks, ensuring all information is up-to-date. Utilise Microsoft Office and Google Workspace for document preparation, presentations, and data management. Handle phone calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries or directing calls appropriately. Support financial processes by managing invoices and basic bookkeeping using QuickBooks. Collaborate with team members to streamline administrative processes and improve overall efficiency. Provide organisational support for meetings, including preparing agendas and taking minutes as required.

Experience



Proven office experience with a strong background in administrative roles is essential. Proficiency in computer skills, particularly with EMIS, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with QuickBooks or similar accounting software is advantageous. Excellent typing skills with a focus on accuracy and attention to detail. Strong organisational skills with the ability to manage multiple tasks simultaneously while maintaining high standards of work quality. Previous clerical experience is preferred, showcasing an understanding of office protocols and procedures.
