Duchess & Alleycat are looking for an experienced
Despatch & Logistics Manager
to work as part of our fast-growing team in Glasgow.
We're looking for someone highly motivated & organised, with great initiative and a can-do attitude.
The right candidate will need to be dynamic and able to work effectively under pressure.
This role suits someone with strong administrative ability, excellent communication skills, and solid experience working in a fast-paced print, packaging or manufacturing environment.
You must be confident using Excel and Word, comfortable coordinating multiple shipments simultaneously, and able to liaise professionally with couriers, suppliers, internal teams and most importantly, clients.
Key Responsibilities
Despatch & Courier Management
Manage daily despatch operations across multiple courier platforms (e.g. DPD parcels, pallet and international courier services).
Create delivery notes, book shipments, apply labels, and ensure all references and documentation are accurate.
Liaise with suppliers to confirm collection schedules, box counts, weights and packaging requirements.
Prepare shipments, label and package goods appropriately, and ensure all items are fit for transit.
Monitor tracking, investigate delays, and resolve courier issues promptly.
Coordinate print-job despatches by checking POs, confirming addresses, preparing delivery documentation and ensuring timely collection.
Build, wrap and label pallets for freight carriers when needed.
Manage outbound and sample shipments via international couriers, including correct customs codes and documentation.
Scheduling & Communication
Compile and manage daily delivery schedules for drivers, from multiple sources (WhatsApp, email, phone).
Allocate deliveries to correct routes and days, including rescheduling missed or urgent deliveries.
Respond to driver, warehouse and internal queries regarding deliveries, stock, and print jobs.
Monitor high-volume communication channels to keep on top of client requests and courier updates.
Warehouse Support
Assist with goods locating, loading support, reboxing/packing, and receiving deliveries when required.
Occasionally support container unloads or warehouse tasks during busy periods.
Goods In & Stock Control
Record all incoming deliveries including quantities, weights and references for reporting and internal visibility.
Maintain accurate spreadsheets for stock usage, inbound goods, and replenishment forecasting.
Conduct periodic physical stock checks across multiple warehouse locations.
Use stock data to flag low levels and help determine replenishment timing.
Admin & Invoicing
Raise delivery and product invoices as required, ensuring accuracy against delivery notes and schedules.
Support generic product ordering, pricing and replenishment through supplier liaison.
Maintain cost estimation spreadsheets for courier services.
Assist with updating internal boards relating to shipping statuses and low-stock alerts.
Skills & Experience Required
Strong Excel and Word skills (spreadsheets, tracking, reporting).
Experience in despatch, logistics, warehouse operations, or supply chain.
Print industry experience is highly desirable.
Excellent organisational and multitasking ability.
Strong communication skills--confident liaising with suppliers, couriers, internal teams and clients.
Ability to work accurately in a high-volume, fast-paced environment.
Practical, hands-on approach with willingness to support warehouse tasks when required.
Excellent attention to detail.
