We are looking for a
thoughtful, organised, and people-focused Diary Manager
to take ownership of our appointment diaries and support patient relationships across our practices.
This is a
judgement-led role
, not a call-centre or receptionist position.
What you'll be responsible forDiary ownership
Managing and protecting appointment diaries across multiple practices
Booking, re-booking, and rescheduling appointments calmly and intelligently
Reducing DNAs and last-minute gaps
Ensuring clinics run smoothly without overbooking or pressure
Patient relationship & aftercare
Light-touch follow-up with patients after appointments (e.g. children's first visits, urgent appointments, new glasses)
Maintaining regular, appropriate contact with long-standing and well-meaning patients
Supporting recalls and repeat attendance in a
care-focused, non-salesy way
Working with offshore admin support
Reviewing appointment confirmations and responses
Acting as the decision-maker for diary changes
Ensuring messaging remains polite, clear, and appropriate
Multi-site coordination
Balancing demand across different practices
Understanding that different sites run at different paces
Making sensible decisions about where appointments are best placed

Who we're looking forEssential
UK-based
Excellent organisation and decision-making skills
Confident communicating with patients in a warm, professional manner
Comfortable working independently and taking ownership
Strong written English
Desirable
Experience in healthcare scheduling (optometry, dental, GP, clinics)
Familiarity with NHS environments
Experience working alongside remote or offshore admin teams
Hours & flexibility
Approx. 18 hours per week
Flexible working pattern across weekdays
Remote / hybrid role
No routine evenings or weekends
Pay
Circa 26,000 per year (pro-rata)
Dependent on experience and employment arrangement
