Job Description

ROLE AND RESPONSIBILITIES:



Project Management & Co-ordination:

Daily use, testing and development of the company's bespoke CRM (Willow). Attending meetings with external teams where required, taking notes of any tasks and key information to ensure progress and/or delays are communicated as well as any changes/information updates. Responding to emails, phone calls, queries and enquiries relating to the role. Recording relevant data and communications on each project for reference. Using internal management tools and systems provided, keeping them updated for recording purposes and maximising workflow efficiency. Setting up data on Willow for each development, continuing to amend as necessary where this cannot be/is not managed by other departments. System Development & Testing:



Providing a secondary source of testing of Willow to support the Lead. Setup of touchscreens as required, where this would not be done by another department. Setup of new developments and house types as required on Willow. Receiving and processing feedback from Willow users, raising with the Lead for approval. Testing all forms of CGI assets, as well as ensuring these are cross-checked by Design, Sales etc. as required. Data input and amendment as necessary, where this would not be handled by another department.

Training & Support:



Ad-hoc issue investigation and resolution, ensuring correct processes are followed. Where required, support the Lead with training of internal team members, including travel to and from training locations. Check in training with internal team following new release rollout training.

Asset, Data & Resource Management:



Keeping up to date with revisions of multiple documents across all developments, communicating any amends made to the relevant parties for updating assets as required. Once instructed by the Lead, the Coordinator is to gather and send information for quoting by external providers, keeping quotes updated with progress etc. and confirming once completed. Ensuring quotes and their details are added to the project boards and keeping the Digital Projects Lead and Marketing Manager informed, so they can instruct as necessary via Evision. Liaising with Commercial, Sales and Design teams in particular, to exchange information and ensure that the products we have on our system is correct and up to date. All must be approved by DPL before being instructed. Ensuring data sheets are updated for external teams and providers (i.e. HTC Bibles). Tracking documents and revisions (i.e. working drawings) on our Project Management boards to ensure our assets are always based on the latest revisions (where required). Uploading fully approved assets to the CRM/website as required, ensuring they are also saved in the designated folder/location for other team members to also access and use.

Reporting & Stakeholder Engagement:



Reporting to the Digital Projects Lead and/or Marketing Manager as required. Keeping track of works scheduled with external teams to provide estimated delivery timeframes to stakeholders when required. Gathering feedback from stakeholders and Willow users, ensuring projects and features on the CRM are in line with their own and their teams' requirements and producing comprehensive, detailed reports on this which can be passed to the relevant team/s to address or use to scope. Track outstanding works, co-ordinating lead times and managing stakeholder expectations for delivery.

Other:



Attending seminars, conferences or training sessions arranged by the company. Attending events such as those arranged by external companies or awards ceremonies. Any other tasks or responsibilities deemed appropriate under the role.
