Job Summary



To ensure the practice's IT systems, user accounts, and digital tools are functioning effectively and securely.

Job Responsibilities



Systems and Accounts

Maintain user access for new starters and leavers across core systems (e.g., EMIS, NHSmail, AccuRx, Smartcards, Docman) under the direction of the Deputy Operations Manager. Update and maintain user permissions, passwords, and Smartcard sponsorship records. Support EMIS configuration tasks and run routine searches and reports as requested. Keep accurate records of IT assets, devices and software licences. Assist with maintaining the practice website to meet NHS accessibility and compliance standards.

Rota Administration

Maintain the master rota using OMNI Rota and transfer rota information into EMIS for clinics, external contracts and visiting clinicians. Create and update clinical appointment templates in EMIS on a rolling basis. Allocate rooms in advance and update room allocation spreadsheets for all sites. Produce lists of cancelled or changed clinics and ensure relevant teams are informed. Verify rota information for teaching, training sessions, planned closures and service requirements prior to publication.

IT Support and Supplier Liaison

Act as a first?line contact for routine IT queries and troubleshooting; escalate to CSU or suppliers when required. Log, track and follow up support tickets and outstanding issues. Assist engineers and suppliers during on?site visits and provide basic information to support timely resolution. Help install, replace and maintain basic hardware such as PCs, laptops and printers. Support maintenance of digital telephony, call screens and arrivals devices and the laptop bank with controlled user logs.

User Support and Training

Provide practical, hands?on support to staff for everyday use of IT systems and digital tools. Deliver system induction for new staff and registrars and create simple "how?to" guides and quick reference materials. Promote good digital practice and basic data security awareness among staff.

Digital Projects and Development

Support implementation of local or national digital improvement projects (e.g., telephony upgrades, software trials) under the guidance of the Deputy Operations Manager. Liaise with CSU and ICB digital teams as required and share operational updates with the management team. Identify routine opportunities for process improvements and raise these with line management.

Information Governance and Compliance

Work with the Information Governance Lead to ensure day?to?day system use complies with data protection and cyber security standards. Maintain confidentiality of patient, staff and business information and report any potential data breaches or security concerns immediately.

Key Tasks:



Maintain accurate asset and account registers. Prepare and publish rota and room allocation updates. Run routine system reports and support Opel data reporting tasks as required. Monitor system alerts and task queues (e.g., pathology reassignments) and escalate where necessary. Support annual servicing of digital devices by coordinating access and logging outcomes. Keep simple user guides and induction materials up to date.
