We're looking for an Business Systems Associate to take charge of the end-to-end delivery of enterprise-wide digital solutions--not just overseeing from the sidelines, but actively driving execution and transformation through effective project and change management.
You will play a pivotal role in managing the implementation of a vital project that will shape the future of our organisation making a lasting impact in supporting our transition to a data and digitally driven environment.
This is a doing role: you'll be deep in the details, designing the appropriate road map, delivering workstreams, removing roadblocks, providing advice from previous experience of delivering successful digital transformation projects, coordinating cross-functional teams (including suppliers), managing timelines, and ensuring every aspect of the project moves forward with precision. From aligning stakeholders to rolling up your sleeves to solve problems, you'll be at the heart of our digital transformation efforts, turning strategy into real, measurable outcomes. Key Success Factors
- Design and delivery of successful digital system transformation to time and on budget in PMO, project budget and resource, customer relationships (CRM) and digital people management systems.
- Successful management of the end-to-end project and change delivery for transitions to digital platforms--minimising disruption to business-as-usual, maximising user adoption, and embedding solutions into core processes and ways of working, achieving the required behavioural shift in our people.
- Work with colleagues across the PMO, corporate operations, and wider staff team to design efficient, sustainable standard operating procedures and workflows, which will be digitised and embedded into our systems.
- All stakeholders are kept informed and engaged, and strong project governance is maintained to support successful delivery and sustainability.
Key attributes of the successful candidate
Must possess a strong understanding of system integration and interoperability to ensure seamless data flow and maintain a single source of truth across platforms.
Strong stakeholder management skills and the ability to build relationships with a range of colleagues and third parties, with an appetite to share knowledge and understanding to influence action.
Ability to quickly understand and interpret our organisations ways of working including our organisational and core commissioners' performance and assurance reporting requirements, processes and schedules.
Demonstrated experience in driving continuous improvements in data management and quality, optimising the use of data, and enhancing operational efficiency through automated workflows and process optimisation - transforming the way organisations work.
Experience of timely surfacing of opportunities and risks on our performance to manage and escalate at the appropriate governance forums. Identifying risks and opportunities in process and ways of working to ensure systems are fit for future and transformative.
Experience of designing and delivering projects that result in the behaviour shifts of the end users to embrace new ways of working.
Responsibilities
Role:
delivery of systems transformation project by March 2027 (PMO and project budget and resource management system implementation to start Q3 2025/26 as part of phase 1 with two subsequent phases). This includes day to day project management expertise to ensure the project delivers to time, scope and budget (has authority from the project board to run the project within the constraints agreed via the PID/ business case)
Manage the full project lifecycle of an enterprise system phased implementation and business change project, from initiation through go-live and post-implementation support.
Develop and manage the project to the objectives, milestones and success criteria as outlined in the project initiation document, budget, and resource allocation to ensure delivery of the business case; identifying risks and opportunities and managing effectively to our operational governance framework.
Manage the planning and organisation of effective project delivery team meetings and decision making through the project board.
Oversee system integration, data migration, testing, training, ensuring a change management framework is followed.
Manage third-party vendors and consultants to ensure contractual deliverables and performance standards are met.
Monitor project performance using appropriate KPIs and metrics; report progress and variances to stakeholders.
Identify and resolve issues and conflicts, escalating where necessary to ensure project success.
Collaborate with colleagues across the PMO, corporate operations, and wider staff teams to design efficient and sustainable standard operating procedures (SOPs) and workflows. Ensure all SOPs are clearly documented, digitised, and embedded into relevant systems.
Support the Head of PMO and senior leadership team in championing and embedding digital and data driven project management capability across the organisation.
Provide relevant information and support to enable colleagues to adopt new digital tools and ways of working, contributing to a successful digital and cultural transition, using clear and targeted communication approaches that are appropriate to different stakeholder groups across the organisation.
Maintain a central repository for all project documentation, status reports, work plans, proposals, change requests etc, and ensure timely updates and performance reporting processes.
