Manage and be accountable for the quality of MIS & Exams across the College, managing designated teams of staff, monitoring relevant daily/ weekly /monthly all College, team and individual KPIs, ensuring high quality data internally and externally, contributing to business planning and manage the departmental budget, in order to ensure the provision of high quality MIS and Exams services for the college.
Main Responsibilities and Duties:
The following is an indication of the type and level of the main priorities expected of this role as directed by your line manager and is not intended to be a comprehensive list of duties or tasks:1. Manage and be accountable for the quality of MIS & Exams across the College, establishing, setting and driving quality improvements, promoting and implementing innovative and best practice techniques, managing performance and setting targets for the continued and sustained improvement of quality in these areas covering short, medium and long term activity and targets for the departments.
Monitor, as required on a daily/ weekly /monthly basis, all College, team and individual KPIs set by the Executive Group for the departments, in particular, monitoring the recording of learner attendance, retention, and achievement, ensuring the development and implementation of appropriate interventions and procedures to enable the optimum availability of high quality data and information, in order to ensure that all such targets are achieved, if not exceeded, where possible. This will include producing management reports and recommendations.
Manage the departmental budget, monitoring expenditure, forecasting future budgetary requirements, ensuring that all financial transactions comply with college financial policies, processes and procedures. This will include ensuring that all purchases and contracted services comply with college and legislative guidance, process and procedures.
Ensure that all data required by the College is collected and recorded efficiently, preparing the statutory ILR returns, the estimates, funding claims and other associated files and data, taking responsibility for all issues relating to external funding, including policy and guidance, advice, data availability, software, ensuring that all indirect processes are documented and audited to ensure compliance and take responsibility for improvements of systems and processes. This will include liaising with EFSA and DFE for college returns.
Maintain existing and develop new computer systems in response to College's needs, improve functionality and support the linkage to other College's system, providing advice, support and training on systems and processes to other College teams, maintaining knowledge of existing reports and their purpose and provide information and guidance to staff and senior managers, writing reports where required and oversee the timely production of other reports, ensuring data accuracy and integrity. This will include ensuring compliance with GDPR and data sharing agreements with external bodies.
Oversee the provision of robust systems for all enrolment processes and criteria, updating existing and requesting new courses, including funding implications, course set up and maintenance, managing the collection and input of timetable data and in year changes to ensure the efficient use of classrooms and ensure the College's electronic register system is fully operational to support accurate attendance reporting.
Manage the designated teams of staff, undertaking recruitment, selection, absence management and appraisal, taking responsibility for allocation of duties, training, managing and monitoring individual and team workloads, discipline, development, time keeping, approval of annual leave etc., and the cost effective use of overtime and time off in lieu for staff, ensuring full compliance with relevant college policies and procedures at all times.
Contribute to the business planning process for the College and designated departments, taking account of the Executive Director guidance and College priorities, providing data and ideas, options and potential solutions based on the knowledge of study programmes, student retention and achievement and their impact on both human, financial and physical resources, assisting with the production of any consultation papers that may be required in the case of staff reductions.
