Position

Job Title: Dispatch Executive

Hours: 37.5hrs

Shift pattern: Shift rotas given 3 months in advance and can be flexible. Expected to work 1 in 3 weekends. Hours are between Monday-Sunday

Hours on days

Monday to Friday 09:00 -5.30 or 11-7.30pm

Saturday/Sunday 8:00 -16:00

Salary:\xc2\xa320,319pa ( \xc2\xa310.42ph) plus performance related pay of up to 6%

About the role:

You will be ensuring customer orders are prepared, tested and sent out on time, guaranteeing next day delivery and a perfect start to our customer\'s journey with us. Within the team there are a number of key responsibilities that a successful Dispatch Executive will undertake on a daily basis. Key responsibilities include the programming and testing of alarm equipment, processing customer orders and packing, processing returned goods and reconditioning equipment, as well as maintaining a safe and organised office space.

The main responsibilities for this role include:

1.Processing customer orders and sending postal items

\xc2\xb7 Ensuring all alarm orders received each day are dispatched in a timely, presentable manner, including all the relevant equipment, information guides and assistance that the customer needs to get started with their equipment as soon as it arrives.

\xc2\xb7 Preparing and packing alarm orders ensuring they are sent out in perfect working condition.

\xc2\xb7 Preparing individual equipment requests as well as invoicing, equipment instructions and smaller postal items to be sent each day such as additional cables or replacement equipment.

\xc2\xb7 Identifying the various types of orders each day and communicating with colleagues to ensure everything is completed to a high standard.

\xc2\xb7 Effective communication with the Customer Service and Sales teams to ensure any updates and changes to orders are communicated and acted on.

\xc2\xb7 Communicating with other areas of the Dispatch Team to ensure there is enough equipment prepared to complete orders each day.

\xc2\xb7 Excellent time management to ensure all orders are dispatched on time.

2. Processing returned goods

\xc2\xb7 Ensuring returned goods are processed promptly through our CRM system and placed back into stock rotation once tested and reconditioned.

\xc2\xb7 Effective communication with the Customer Service teams (particularly Credit Control) regarding any missing or damaged equipment, as well as miscellaneous equipment and any additional information received from the customer.

\xc2\xb7 Receiving returned goods from various couriers and ensuring it is organised and labelled.

\xc2\xb7 Keeping on top of all returned goods to ensure stock levels and customer accounts are kept up-to-date.

3. Reconditioning returned equipment

\xc2\xb7 Ensuring all returned equipment is reconditioned, fully tested and recorded before being sent out to a customer.

\xc2\xb7 Effective communication with other areas of the Dispatch Team to ensure the necessary equipment is prepared each day to complete customer orders.

\xc2\xb7 A good eye for stock management and effective communication with the management team when stock levels are getting low.

\xc2\xb7 Constantly thinking of new ideas to increase efficiency when reconditioning equipment, for example thinking of new materials to use to aid the process.

4. Programming of alarm equipment

\xc2\xb7 Ensuring all alarm equipment is correctly programmed and fit for each customer\'s purpose.

\xc2\xb7 Ensuring the correct telephone line and alarm ID are assigned to each unit so it links to the customer\'s account and reduces mismatches between the Dispatch team and Alarm Response Centre.

\xc2\xb7 Effective communication with the Alarm Response Centre when programming and calling through on alarm units to ensure adequate cover is available on the phones to answer the test calls.

5. Testing of faulty alarm equipment

\xc2\xb7 Once trained, a solid understanding of all alarm equipment and how they work to enable successful testing.

\xc2\xb7 A good problem solver able to identify any potential faults.

\xc2\xb7 Inputting and recording all tests/outcomes in the CRM system.

\xc2\xb7 Effective communication with the returns team to identify where faulty equipment is stored before and after testing.

\xc2\xb7 Identifying fault trends and communicating effectively with management teams.
