The Assistant Pharmacy Manager plays a central role in leading day-to-day pharmacy operations, driving a culture of performance, compliance, and continuous improvement. Supporting the Superintendent Pharmacist Manager, this position blends hands-on dispensing leadership with people management, systems optimisation, and business-focused decision-making.
You will lead the dispensary team to achieve operational KPIs, uphold GPhC and CD compliance, and ensure patients consistently receive timely, safe, and compassionate care. This is a people-first leadership role where team engagement, patient satisfaction, and pharmacy excellence go hand in hand.

Key Responsibilities
Dispensary Operations & Workflow Management
Ensure efficient, accurate, and legally compliant prescription processing and dispatch, including Controlled Drugs (CDs).
Oversee daily dispensary workflows, stock control, task delegation, and priority management to meet turnaround targets.
Identify and remove operational bottlenecks while ensuring adherence to all SOPs.
Use pharmacy systems (Titan, CD Smart, logistics platforms) to manage prescription lifecycle and performance tracking.
Team Leadership & Development
Manage and mentor a team of pharmacy dispensers and patient support staff, fostering a high-performing, collaborative environment.
Conduct regular 1:1s, performance check-ins, and team meetings to track progress and engagement.
Lead onboarding, induction, and continuous training programs to upskill the team and promote career development.
Act as a role model for professionalism, empathy, and excellence in patient-facing and behind-the-scenes operations.
Compliance & Clinical Governance
Support CD management and ensure rigorous compliance with storage, documentation, and audit requirements.
Actively lead or support RCA processes following incidents, errors, or near misses.
Ensure staff are trained and up to date with legal, regulatory, and company policies.
Help prepare for and participate in GPhC inspections and internal audits.
Business & Commercial Awareness
Monitor key KPIs (e.g. dispensing turnaround, driving revenue through performance, inventory management) to drive business performance.
Collaborate with the Superintendent Pharmacist Manager and Head of Operations to identify cost-saving or revenue-generating opportunities.
Contribute to procurement planning, supplier liaison, and commercial decision-making where relevant.
Provide data-driven insights on stock usage, resource allocation, and efficiency improvements.
Cross-functional Collaboration
Act as the key link between the dispensary, clinicians, operations, and patient service teams to ensure seamless prescription handling.
Participate in regular interdepartmental meetings, sharing insights, proposing improvements, and supporting change initiatives.
Maintain oversight of the daily communication hub (e.g. patient link group) to ensure timely, coordinated updates and responses.
Skills & Qualifications
Essential:
5+ years' experience in a GPhC-registered pharmacy or dispensary environment
NVQ Level 2 or 3 in Pharmacy Services
Proven experience leading or supervising a pharmacy team in a clinical or commercial setting
Excellent understanding of Controlled Drug (CD) regulations and Standard Operating Procedure (SOP) adherence
Confident working with digital pharmacy platforms (e.g. Titan, CD Smart)
Strong organisational and problem-solving abilities with a continuous improvement mindset
Excellent communication and stakeholder engagement skills across technical and non-technical teams
Empathetic leadership style with a focus on coaching, team development, and performance management
Calm, clear decision-maker with a values-led leadership approach
Desirable:
Experience in the medical cannabis or private healthcare sector
Commercial awareness and ability to contribute to procurement and cost-efficiency initiatives
Familiarity with logistics systems (e.g. Royal Mail Tracked24, DPD portals)
Experience supporting audits, inspections, or regulatory processes
Knowledge of pharmacy software, CRM systems, and management platforms
Passion for innovation in healthcare and improving health outcomes through responsible cannabis use
