Overview




We are seeking a highly organised and detail-oriented

Document Controller

to support our architectural project teams. The Document Controller will be responsible for managing, tracking, and maintaining all project-related documentation to ensure accuracy, compliance, and timely distribution. This is a critical support role by maintaining clear records and communication throughout the project lifecycle.

Key Responsibilities



Document Management:




o Establish and maintain an organised document control system for architectural drawings, specifications, contracts, and other project-related records.


o Ensure version control, proper naming conventions, and timely updates of all project documents.

Collaboration & Coordination:




o Distribute and track project documentation among internal teams, consultants, contractors, and clients.


o Support architects and project managers in ensuring all stakeholders have access to the latest approved information.

Compliance & Standards:




o Maintain records in line with company policies, ISO standards, and industry regulations.


o Ensure confidentiality and secure storage of sensitive documents.

Monitoring & Reporting:




o Track document status, submittals, and approvals to ensure deadlines are met.


o Generate regular reports on document progress, outstanding approvals, and revisions.

Technology & Systems:




o Manage electronic document management systems (EDMS) and project collaboration platforms (e.g., Aconex, Procore, BIM 360, SharePoint).


o Train project team members in proper document handling and system usage.

Qualifications & Skills




o Minimum 2-5 years' experience in document control, preferably within architectural, engineering, or construction projects.


o Proficiency with EDMS and collaboration tools (e.g., Aconex, Procore, BIM 360, SharePoint).


o Strong organisational, multitasking, and time-management skills.


o Excellent attention to detail and commitment to accuracy.


o Effective communication skills to coordinate across multiple stakeholders.


o Diploma or degree in Architecture, Engineering, Construction Management, or related field (preferred).
