Role
We're looking for a highly organised Document Controller who can keep project paperwork watertight and pitch in across the office: posting jobs and sourcing operatives, answering phones, keeping our socials up to date, and helping improve our internal processes. If you're detail driven, comfortable on a computer, and happy juggling priorities, you'll fit right in.
Key responsibilities Document control
Collate, name, file and version-control project documents in line with company standards.
Maintain document registers, transmittals and trackers (drawings, RFIs, submittals, correspondence).
Produce and compile O&M manuals, handover packs, and project templates; ensure they're complete and client-ready.
Chase contributors and close out document actions by agreed deadlines.
Support process improvements (templates, SOPs, checklists) to keep work flowing smoothly.
Recruitment & workforce support
Post jobs and manage adverts across platforms; screen CVs and schedule calls/interviews.
Source operatives to expand the workforce; maintain a live talent/operative database.
Coordinate starter paperwork and basic onboarding documents.
Communications & admin
Answer phones and handle the shared inbox; route queries to the right person.
Update contact lists, job sheets and daily/weekly reports; minute brief meetings when needed.
Liaise with site and office teams to gather info and keep records current.
Social & marketing support
Assist with LinkedIn posts, Google Business Profile updates and light website content (photos, job wins, case studies).
Share approved updates that support recruitment and brand visibility.
What you'll need (essential)
Confident computer skills: comfortable with email, calendars, file management and online forms.
Comfortable with MS Office/Google Workspace skills (Word/Docs, Excel/Sheets, PowerPoint/Slides); PDF editing/combining.
Excellent attention to detail, spelling and grammar; strong organisational skills.
Clear communicator (phone and written) and a proactive, can-do attitude.
Ability to handle confidential information appropriately.
Nice to have (advantageous)
Experience in construction/engineering document control (e.g., O&M, drawings, transmittals).
Familiarity with a CDE/EDMS (e.g., Asite, Viewpoint/4Projects, Aconex, SharePoint).
Basic Canva/graphics or CMS skills for polishing templates or posts.
Understanding of GDPR and good data-handling practice.
