Bouygues UK has an exciting opportunity available for a Document Controller to be based on one of our data centre projects in Newport!



This will initially be for a 6 month fixed term contract, with the potential to extend or transition into a permanent position.



This is an excellent opportunity for a Document Controller, or someone who is looking to transition into this type of role as we can provide training on how to use systems.

Key Tasks:

Establish, manage, and control the electronic document management systems (EDMS) for project(s) to monitor and maintain compliance with Company Procedure. Provide onboarding, training, guidance and support to the Project Team, Client Team, Consultants, and our Supply Chain to ensure compliance of managing, exchanging, and archiving of information in line with project and company procedures. Work with the project team to distribute and communicate project-related information through the relevant platforms to relevant stakeholders. Ensuring information is up-to-date, accurate and complies with project information Management protocols. Work alongside the Project Team to manage the relevant design and package information for communication with the relevant external parties. Monitor compliance and report the information status to assist the Project Team with obtaining timely submission of required information within the EDMS and other relevant platforms. Responsible for organising any printing of hard copies of approved deliverables when required and ensuring information is stored in-line with the BYUK archive and filing strategy. Liaise between the Project Team and any external party required to compile Contract documents including the Health & Safety Files, Completion Documentation, Building Logbooks, Building User Guides and Operational & Maintenance Manuals. Ensuring appropriate submissions within the agreed platform and format of the required documentation are submitted for inclusion within the post completion documentation within the agreed timescales. Work with the Senior Document Control Manager and Information Management Team to the setup new projects using company information management tools if required. Support other members of the wider document control and information management team if required and providing cover if needed. Be the key point of contact for all document control related issues for the project and support the Project Team where required to manage Project related documentation, collating required project information, document transfers, document naming and filing.



About You

Excellent IT skills (e.g. MS Office, SharePoint, Teams). Experience of Viewpoint for Projects (or other Document Control systems) or a desire to learn this. Well organised, able to prioritise tasks and meet deadlines.
