Document Controller

Our client are seeking a highly organised and detail-oriented Document Controller to join our dynamic team. The successful candidate will play a crucial role in managing and controlling all project-related documentation, ensuring compliance with established protocols and facilitating smooth information flow among project stakeholders.


Key Responsibilities

Document Protocol Enforcement: + Implement and maintain document control procedures and systems
+ Ensure all project documents adhere to company standards and client requirements
+ Develop and update document control processes as needed
+ Train team members on document control procedures and best practices
CDE Portal Management: + Proficiently upload and download documents to/from Common Data Environment (CDE) portals
+ Organise and maintain the structure of CDE portals for easy access and retrieval
+ Ensure proper version control and document naming conventions are followed
+ Manage user access and permissions within CDE portals
Document Tracking and Transmission: + Maintain accurate logs of all incoming and outgoing documents
+ Track document revisions, approvals, and distribution
+ Coordinate the timely transmission of documents to relevant parties
+ Generate regular reports on document status and project progress
Quality Control: + Perform quality checks on all documents before distribution
+ Ensure consistency in document formatting and presentation
+ Identify and resolve discrepancies or errors in documentation
+ Implement and maintain a robust filing system for easy retrieval and auditing
Printing and Document Production: + Manage the printing of drawings and various project documents
+ Ensure high-quality reproduction of documents and drawings
+ Coordinate with external printing services when necessary
+ Maintain inventory of printing supplies and equipment
Stakeholder Liaison: + Act as the primary point of contact for document-related queries
+ Liaise with contractors, subcontractors, and other project stakeholders
+ Facilitate document exchange and communication between parties
+ Resolve document-related issues and conflicts

Required Skills and Qualifications

Minimum of 3 years of experience in document control, preferably in the construction or engineering industry Strong proficiency in document management software and CDE portals Excellent organisational and time management skills Keen attention to detail and high level of accuracy Strong communication skills, both written and verbal Ability to work independently and as part of a team Proficiency in Microsoft Office Suite (Word, Excel ect) Proficient in Asite, Acanex, Project Plus & Pro core (Desirable)
