The Role

The document production specialist\'s principal role is to provide an accurate and timely document preparation service. Working for various legal teams in a fast-paced environment, the role is ideally suited to a candidate who is both proactive and flexible. Advanced skills in Microsoft Word and PDF documents are required along with a good working knowledge of Excel, PowerPoint, DocXtools and Lexis Smart Forms.

The working pattern for this role will be Monday to Friday, 11am-7pm. We are happy to discuss flexible working arrangements and there will be an opportunity to work from home.

Duties and Responsibilities

  • Create and amend documents accurately.
  • Ability to strip document formatting and reformat in house style.
  • Edit, redact, combine, date, and reduce PDF documents.
  • Transcription of digital dictation (BigHand)
  • Create tables, flowcharts, and presentations to a high standard.
  • Advanced use of track changes and comparison software
  • Troubleshoot problematic documents.
  • Create and amend Excel documents, with strong knowledge of formulas.
  • Produce electronic court forms using Lexis Smart Forms and Quantum
  • Knowledge of downloading documents from data rooms
  • Accurately interpret complex instructions producing documents within the required timescales, seeking clarification when necessary
  • Proofreading and quality checking all work to ensure that completed documents are delivered accurately and to a high standard.
  • Answer and respond to all incoming requests in a prompt and effective manner.
  • Sharing of knowledge across the team
  • Keeping lawyers updated on the progress of their work.
  • Ensure house style is adhered to and promoted on all documents.
  • Undertake any other duties as reasonably requested by the team leader to meet the needs of the business.
Skills/Experience
  • Computer literate with advanced knowledge of Microsoft Word and PDF documents
  • Working knowledge of Excel, PowerPoint, DocXtools and Lexis Smart Forms
  • Accurate typing speed of at least 60 words per minute
  • Maintain exemplary accuracy and exacting eye for detail.
  • Excellent communication and team skills
  • Able to work to tight deadlines yet remain calm under pressure.
  • Able to work independently.
  • Flexible, dependable and with a \'can do\' attitude.
  • Self-motivated team player
  • Take ownership and responsibility for tasks.
