Responsibilities:
Early Careers Recruitment
Onboarding of Insight/Work Experience attendees, Apprentices, Interns and Graduates including:
preparing and sending offer letters
liaising with external consultants to obtain pre-employment screening documentation and visas or work permits where applicable
liaising with internal stakeholders to coordinate onboarding of new joiners
uploading applicant data onto relevant HR systems and SharePoint
Managing the Early Careers inbox by responding to candidate and employee queries
Posting vacancies on the Rothschild & Co careers website and university careers portals
Conducting a first screen of candidate applications and creating a shortlist
Logging and tracking applications via the applicant tracking system and other associated spreadsheets
Organising first and final round assessment days - liaising with candidates, sourcing assessors, booking rooms and catering, scheduling interviews, creating and distributing interview packs, tracking interview feedback, communicating feedback to candidates
Assisting with the organisation of events
Attending events where relevant
Arranging reimbursement for candidate travel and logging vendor invoices
Reconciling expenses and claims promptly and accurately as required
Organising hotel and travel arrangements (international and domestic), including foreign currencies, hotels etc. as required.
Early Careers Programmes
Providing administrative support to the programme managers prior to and throughout the Insight/Work Experience, Apprenticeship, Summer and Long-Term Internship Programmes and the Global Graduate Training Programme
Coordinating presentations, workshops and training sessions during each of the programmes, including booking rooms, sourcing representatives, sending out calendar invites and ensuring all speakers are fully briefed
Organising induction packs for new starters.
Skills required:
Excellent organisational and time-management skills with the ability to adapt to changing priorities and multi-task in order to meet deadlines
Proactive attitude with the ability to demonstrate initiative and reliability
Strong attention to detail
Excellent interpersonal skills - able to communicate clearly and effectively at all levels both internally and externally
Self-motivated, committed, with a flexible approach and ability to work independently and within a team
* Good knowledge of Outlook, Word, PowerPoint and Excel.
