Job Purpose
As part of our small, family-run nursery team, the Early Years Office Manager plays a vital role in keeping our setting running smoothly day-to-day. You'll be the friendly face that welcomes families, supports our staff team, and ensures that our administrative, financial, and operational tasks are well-organised.

Key ResponsibilitiesAdministration and Organisation
Oversee the daily running of the nursery office, maintaining an organised and welcoming atmosphere.
Keep all children's records, registration forms, and attendance logs accurate and up to date.
Support the nursery deputy managers with staff rotas, training records, and DBS tracking.
Manage emails, phone calls, and parent communications promptly and professionally.
Assist with admissions -- from handling enquiries and show rounds to preparing welcome packs and settling-in paperwork.
Maintain an efficient filing system (digital and paper) in line with GDPR and safeguarding requirements.
Finance and Bookkeeping
Follow-up fee payment issues with parents.
Maintain accurate records of fees, funding claims, and petty cash.
Liaise with the nursery's owners regarding payroll and expenses.
Help the owners monitor budgets and manage supplier payments.
Family and Community Support
Be a warm and reliable point of contact for parents and carers.
Help to create a friendly, family-centred environment through positive communication and personal touches.
Support with sending termly newsletters.
Staff and Team Support
Support recruitment administration (advertising roles, arranging interviews, preparing contracts).
Help maintain staff records including holidays, sickness, and training logs.
Offer general support to the deputy managers and team, especially during busy periods or staff absences.
Compliance and Record Keeping
Ensure all documentation meets Ofsted and EYFS requirements.
Keep up to date with policy changes and support with reviewing nursery procedures.
Maintain safeguarding and health and safety records, ensuring they are complete and compliant.
Person Specification
Essential
Previous administrative or office management experience, ideally in an Early Years or small business setting.
Strong organisational skills with excellent attention to detail.
Confident using Microsoft Office and third party systems
Friendly, approachable, and able to build strong relationships with families and colleagues.
Reliable and able to work independently in a small, busy environment.
Understanding of confidentiality, safeguarding, and data protection.
Holding at least a Level 3 qualification in Childcare
Desirable
Experience working in a nursery or early years environment.
Basic bookkeeping or finance administration experience.
Familiarity with early years funding and local authority claims.
Paediatric First Aid or Safeguarding training (or willingness to train).

Qualifications Required
Level 3 or above in Childcare
GCSEs at grades A*-C/9-4 (or equivalent) in Maths and English.
Enhanced DBS and Paediatric First Aid. (these can be provided for the right candidate).

up to 635 gross

Monday to Friday 9am to 5pm
