Job Overview


We are seeking a dynamic and efficient Ecological Resource Coordinator (ERC) to join our team. In this role, you will be responsible for ensuring the smooth and efficient delivery of our ecological projects by coordinating resources, managing logistics, and maintaining high-quality data systems. The ERC acts as the central hub between project teams, subcontractors, and clients on logistical matters, freeing up technical staff to focus on their core expertise.

Think of this as the "air traffic controller" of our ecology projects. You'll be the one keeping everything running smoothly, from making sure surveys are booked and equipment's ready, to double-checking that data and paperwork are spot on. While our ecologists are out in the field or writing reports, you're behind the scenes making sure all the moving parts fit together.

This role frees up our technical team to do what they do best; protect and restore biodiversity. Without you, things can quickly grind to a halt: equipment goes missing, survey schedules clash, or data gets lost in the digital wilderness. By keeping projects organised and communication flowing between clients, subcontractors, and the team, you'll be helping us deliver top-quality work efficiently and safely.

Duties



You'll coordinate the logistics for surveys and projects, manage our kit and data systems, and help keep Health & Safety and compliance up to scratch. You'll also liaise with clients and suppliers, keeping everyone in the loop and projects on track. On quieter days, you might help the wider team improve systems, test new digital tools, or support innovation projects, including the smart use of AI to make our work even better. Key responsibilities will be to:

1. Coordinate project logistics, including scheduling surveys, booking resources, and supporting efficient project delivery.

2. Maintain accurate Health & Safety documentation (e.g. risk assessments, method statements) and support staff compliance processes.

3. Manage equipment bookings and upkeep, ensuring availability and safe use across projects.

4. Ensure accurate preparation, formatting, verification, and submission of biological data to Local Environmental Records Centres (LERCs), in line with company standards and national guidelines.

5. Support the management of digital project systems (e.g. SharePoint, databases), ensuring information is filed consistently and easily retrieved.

6. Liaise with clients on logistical aspects (e.g. site access) and with subcontractors and suppliers to ensure smooth delivery of projects.

7. Act as a central point for information-sharing within the company, ensuring effective communication between teams and the Senior Leadership Team.

8. Identify and contribute to improvements in operational efficiency (e.g. digital tools, AI, or workflow refinements) and support company innovation projects.

9. Provide administrative support to the Practice Manager and wider team, especially during quieter fieldwork periods.

10. Opportunities may arise to accompany survey teams for fieldwork support (optional, not a core requirement).

Essential Experience



Strong organisational skills with the ability to prioritise, schedule, and coordinate multiple tasks accurately and on time while remaining adaptable to short-notice scheduling changes and able to perform effectively under pressure. Excellent written and verbal communication skills, with the confidence to engage with colleagues, subcontractors, and clients professionally. Competence with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint) and ability to manage data accurately and consistently. Positive, proactive, and solutions-focused attitude with strong attention to detail. Ability to work independently and collaboratively, contributing to effective internal communication and teamwork. Desirable Experience:



Experience in a coordination, administration, or resource-planning role within consultancy, professional services, or an environmental setting. Familiarity with subcontractor or supplier management processes, including maintaining databases or records. Understanding of Health & Safety requirements in a consultancy or project-based environment. Experience with biological data handling or submission to Local Environmental Records Centres (LERCs) or similar organisations. Interest in ecological consultancy, sustainability, or innovation, with aspirations to develop within the sector (e.g. operations, ecology, client engagement, or digital innovation). Awareness of or interest in digital tools and innovation (e.g. generative AI, automation, or process improvement). Willingness to occasionally support operational teams on site-based activities.

Pay: 25,000.00-29,000.00 per year
