We are seeking a highly organized and proactive Order and Inventory Coordinator to join our food factory team. The successful candidate will be responsible for managing customer orders received through EDI, submitting ASNs, booking haulage, and counting and adjusting stock levels on a weekly basis. Additionally, the role will involve participating in the implementation of a Warehouse Management System (WMS) at the site.
Duties:
Order Processing:
Accurately process customer orders received via EDI.
Enter Use by Dates (UBD) and pallet splits into the ERP system.
Create and submit Advance Shipping Notices (ASNs) within specified deadlines.
Manage customer portals for notifications and order amendments.
Logistics Coordination:
Book haulage and coordinate with third-party logistics companies to ensure timely collections and deliveries.
Stock Management:
Conduct weekly stock counts and adjust stock levels as necessary.
Book in production volumes from the previous day.
Communicate stock levels with relevant departments to ensure product availability.
Take ownership of discrepancies in stocks and identify reasons for variances.
Assist in raising orders on the ERP for transfer requests from satellite sites.
WMS Implementation:
Participate in the implementation and integration of a Warehouse Management System (WMS) at the site.
Utilize WMS to track inventory, manage stock movements, and ensure accurate order fulfilment.
Documentation:
Prepare and maintain accurate records of orders, shipments, despatch notes, and stock adjustments.
Fill in export documentation templates for orders going to Northern Ireland (NI).
Reporting and KPIs:
Assist with generating reports and tracking key performance indicators (KPIs) to monitor order processing and inventory management performance.
Communication:
Coordinate with internal departments such as sales, logistics, and finance to ensure smooth order fulfilment.
Communicate with the sales team on order changes and updates.
Compliance:
Ensure orders adhere to basic compliance requirements.
Requirements, Experience and Person Specification:
Education:
High school diploma or equivalent; a degree in business administration, supply chain management, or a related field is a plus.
Experience:
Minimum of 2 years of experience in order processing and stock management within a food factory or FMCG environment.
EDI Proficiency:
Hands-on experience with EDI systems and transactions.
Technical Skills:
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Experience with ERP systems, preferably Dynamics NAV.
WMS Knowledge:
Experience with Warehouse Management Systems (WMS) is highly desirable.
Communication Skills:
Excellent verbal and written communication skills.
Attention to Detail:
Strong organizational skills with a keen eye for detail.
Problem-Solving:
Ability to troubleshoot and resolve order and stock-related issues efficiently.
