The College of Optometrists is the professional body for optometry. It qualifies the profession and delivers the guidance and development to ensure optometrists provide the best possible care.
We are looking for an Education Coordinator (CLiP Assessments) who will join our busy CLiP team. This role will provide support for students undertaking the Clinical Learning in Practice placement as part of their university degree. In particular, the role will be supporting the booking of assessment visits across the UK for students and assessors; liaising with our mystery patient agency, and supporting assessment visits for Scheme for Registration students. Using the CRM and a specially designed portal, the Education Co-ordinator will be expected to ensure good data management in line with GDPR, and provide accurate data for both College colleagues and the UKVI. They will respond to queries from staff and trainees, as well as provide administrative support for work-based administration. The role holder will be the main contact for key external stakeholders of the College and will be responsible for delivering a responsive, accurate service to them.
The Clinical Learning in Practice placements play an important part in the route to qualification for future Optometrists, and the role holder will be significantly involved in the administration of the key aspects of the student life cycle. The role holder will support the delivery of an outstanding student experience which meets the learning needs of our students.
Reporting to the Scheme for Registration Manager, the role holder will be responsible for:

  • Coordinating and arranging CLiP assessments and ensuring all parties receive email confirmations and required information.
  • Ensure CLiP assessments for students with reasonable adjustments are organised appropriately.
  • Communicating with and resolving queries related to CLiP assessments from assessors, employers, universities, and students.
  • Managing the CLiP Portal to the benefit of assessors, employers, and students, including the management of assessment rounds, assessment allocations, and user accounts.
  • Work with our mystery patient agency to ensure that suitable patients are available for each assessment visit.
  • Working with the Head of Curriculum Development and the software developer to review CLiP Portal functionality and processes.
Successful candidates would need to demonstrate the following skills, experience, and knowledge:
  • Experience of working within an educational environment.
  • Data management, analysis, and reporting, with excellent attention to detail
  • The ability to maintain information to a high standard of accuracy and completeness.
  • Excellent written and verbal communication skills, with the ability to produce accurate written materials and provide clear verbal explanations
  • Experience with Microsoft Dynamics or similar CRM, web-based tools, and a competent user of IT with the ability to use Word, Excel, and Adobe.
  • The ability to communicate with and collaborate with people from a diverse range of cultural, educational, and professional backgrounds.
  • Excellent verbal and written English language communication skills.
  • Excellent interpersonal skills, ability to develop and maintain effective working relationships with all stakeholders.
  • Ability to contribute as a team player with the ability to contribute positively to a supportive and collaborative team environment.
