Job Purpose



As our Employee Records Administrator, you'll play a key role in supporting a people-first HR team dedicated to delivering a consistent and professional employee experience. Reporting to the HR Specialist, you'll be responsible for maintaining accurate and confidential employee records, ensuring compliance across all stages of the employee lifecycle.

This role offers full ownership of the onboarding administration process -- from preparing contracts and offer letters to coordinating new starter documentation and system setup. You'll be the first point of contact for new employees, helping to shape their initial experience with Clayton Glass and ensuring a smooth, well-organised introduction to the business.

You'll also support wider HR operations by managing personnel files, updating HR systems, and assisting with audits and reporting. Your attention to detail, structured approach, and commitment to confidentiality will be essential in maintaining the integrity of our employee data.

Key Responsibilities



Onboarding & Welcome Experience



Take full ownership of onboarding administration, including preparing offer packs, conducting right-to-work checks, coordinating induction schedules, and ensuring all documentation is complete and compliant.

Serve as the first point of contact for new starters, delivering a warm, professional welcome and ensuring a smooth transition into the business.

Continuously review and improve onboarding materials and processes to ensure consistency, engagement, and alignment with the Clayton Glass values.


Employee Records & HR Administration



Maintain accurate and up-to-date employee records across HR systems and physical files, ensuring compliance with GDPR and internal data policies.

Prepare and issue contracts of employment, offer letters, and other HR-related documentation with precision and confidentiality.

Support core HR processes including absence tracking, probation reviews, and performance management by maintaining logs, reminders, and documentation.

File and archive HR documents securely, both electronically and physically, in line with retention policies.

Assist in compiling HR reports, metrics, and data insights for management and audit purposes.


Employee Support & Communication



Act as a first-line contact for general HR queries, providing clear guidance and escalating complex matters to the HR Specialist.

Offer administrative support to managers and employees across various HR processes, ensuring clarity and consistency in communication.


Training & Development Support



Maintain training records and assist in the coordination of learning and development activities, including scheduling and tracking attendance.


General HR Support



Contribute to HR projects and initiatives as directed by the HR Manager, supporting continuous improvement and operational excellence.


Skills & Attributes



Highly organised and able to manage multiple priorities. Strong attention to detail and accuracy. Ability to handle confidential information with discretion. Excellent written and verbal communication skills. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and HR systems. Professional, approachable, and supportive manner. Ability to prioritise workload and meet deadlines.

Experience & Qualifications



Minimum of 2 years' administrative experience

, including confident use of IT systems such as Microsoft Office (Outlook, Word, Excel), email, and data entry tools.

A minimum of National 5 qualification in English



Previous experience in an administrative or HR support role desirable (but not essential). Knowledge of HR processes and employment law basics is desirable.

Monday to Thursday:

07:30 am - 4:00 pm

Friday:

07:30 am - 3:00 pm

39 hours/week

Some flexibility with start/finish times available*

Salary: 12.21 per hour [24,761.88 per annum]
