We are seeking a dedicated and highly organised Engineering Administrator to join our team. In this crucial role, you will provide comprehensive administrative support to ensure the smooth operation of our engineering and stores departments. Your responsibilities will span various areas including documentation, scheduling, finance coordination, supplier communication, and inventory management.
Key Responsibilities:
Administrative Support:
Handle correspondence, maintain records, and manage office activities efficiently.
Document Creation:
Prepare and edit documents, reports, and data for daily, weekly, and month-end use.
Scheduling and Resource Coordination:
Assist in scheduling daily tasks for the department using the CMM system.
Plan and schedule work activities for all engineers.
Coordinate and plan work requests.
Liaise with production planning to optimize availability.
Manage contractors, holiday cover, overtime, sickness, and agency staff.
Liaising with Finance Team:
Follow up on supplier invoices for payment.
Set up new accounts and suppliers.
Collaborate with the finance team on monthly budgeted spend, including POs, Goods Receipted, Stock movement, and utility figures.
Correspondence:
Coordinate with engineers, contractors, and OEM suppliers for daily needs.
Research:
Conduct research to find the best value in sourcing.
Records Management:
Maintain accurate financial and other relevant records.
Technical Documentation:
Manage and process technical documents to ensure audit preparedness.
Support Files:
Create and update departmental support files, ensuring they are well-organized and accessible.
Supplier Requests:
Request information and assistance from suppliers as needed.
Parts Supervisor Responsibilities:
Oversee daily operations of the parts department, including inventory management, ordering, receiving parts, issuing parts to engineers, and handling deliveries, returns, and warranties.
What We're Looking For:
Proven administrative experience, preferably in an engineering or technical environment.
Excellent organizational and multitasking skills.
Strong communication skills, both written and verbal.
Proficiency in office software and systems (experience with CMM systems is a plus).
Ability to work independently and collaboratively.
