Equine Veterinary Deputy Head Receptionist/Equine Veterinary Receptionist - Administrator
We have a fantastic opportunity for a reliable, hardworking, enthusiastic, and experienced Receptionist to join our friendly and supportive team at our state-of-the-art RCVS accredited Equine Hospital just outside of Tewkesbury, Gloucestershire.
As a keen team player, you will be working with our veterinary and support staff teams to deliver the best care and service to our patients and clients. We cover a wide variety of patients from high-end competition horses to much loved family pets.
The core skills for a successful candidate are:
Previous admin, customer service or reception experience.
The ability to remain calm and empathetic in a sometimes challenging environment.
A good understanding of equines and the equine industry
Friendly and professional client manner
Excellent attention to detail
Good organisational skills
Able to work well as an individual and as part of a team
Able to use their own initiative to assist our clients
Computer literacy with a knowledge of Microsoft Office/365 or online diary management systems.
The role will include assisting the Head Receptionist to manage the department daily. The primary responsibilities include:
To assist the Head Receptionist to manage and be responsible for the reception team to ensure the smooth and efficient running of the office.
Overseeing of vets' diary- to ensure logical geographical visit areas and that equipment, nurse tagging, timings, and repeating visits/slots are on the diary.
Ensure the Referral and Export role is managed daily.
In the absence of the Head Receptionist to check holiday requests and absences and ensure reception is staffed.
Work with Head Receptionists to update reception protocols when necessary and providing updated versions to receptionists.
To fulfil the duties of reception, ensuring the efficient receipt and allocation of calls to clients and to pass on messages accurately and promptly.
To ensure a professional image to the clients is always maintained in the form of appearance of reception staff and office tidiness.
Assisting with clerical duties & working as a team member in promoting practice growth and development.
Taking payments & adhering to the practice payment protocol.
Sales ledger and clinical notes inputting.
This is a permanent role working 40 hours a week. Normal hours are Monday to Friday 8.30am to 5.30pm with a 1-hour lunch break or Monday to Friday 8.00am to 5.00pm with a 1-hour lunch break depending on rota. There will be a Saturday morning 8.30am to 12.30pm on a shared rota (approximately 1 in 7) with time off in lieu the following Friday.
