Port Lympne Hotel & Reserve is seeking an Estates Administrator on a fixed-term contract, running until March 2027.

This varied role involves maintaining fleet compliance records, coordinating vehicle servicing, inspections, and supplier activity, and supporting fleet procurement and asset management. The postholder will ensure accurate documentation for vehicle risk assessments, audits and departmental meetings, while supporting reporting and record-keeping across the fleet function.

You will manage departmental inboxes, provide first-line support for fleet queries, and assist with fleet-related administration. Flexibility and teamwork are essential, as you will provide cross-cover within the Estates Administration team to ensure continuity of service during periods of absence, while maintaining a primary focus on fleet and mechanic's support.

Who we are looking for:


We are seeking a highly organised and motivated administrator with excellent attention to detail. You will have experience managing records, coordinating tasks, and supporting compliance or operational processes, ideally within a fleet, estates or transport environment. Experience in a health & safety setting would also be beneficial. A confident communicator and problem-solver, you will be comfortable working with digital systems, handling sensitive information discreetly, and adapting to changing priorities.

You will be highly proficient in Microsoft 365, with strong Excel skills (spreadsheets, formulas, data management and entry) and Word (document drafting and formatting). Most importantly, you will be a team player - willing to support colleagues across the Estates function and ensure the smooth running of the department. A full UK manual driving licence is required.

This is a 12-month fixed term contract through to the 31 March 2027

The hours of work are 40 hours per week, worked five days out of seven including weekends and bank holidays as required . Working hours are 08:00 -16:30 with a 30-minute unpaid break. A reliable mode of transport is recommended due to our remote location. Although this role is predominantly based at Port Lympne Hotel & Reserve, the successful candidate might be required to work at Howletts Wild Animal Park on the occasion.
