As an Estates Administrator, you should be confident, well organised, and proactive with good IT skills and a commitment to providing excellent customer service. You will have a pivotal role in supporting the administrative function relating to the Estates service area.

This is a very diverse role where you will be building relationships with curriculum and support staff, and many other stakeholders.

You will be required to:

  • Support the Estates Team Leader and Senior Administrator in receiving, distributing and recording progress of the electronic work requests via the Helpdesk.
  • Support the Estates Team leader and Senior Administrator in recording accurately of expenditure, raising orders, creating excel budget spreadsheets, auditing budget spreadsheets, chasing invoices.
  • Responding to telephone / email queries effectively to internal and external customers and escalating where appropriate.
  • Assist in preparation of agendas, minute taking for Health & Safety, HoC Timetabling, Estates meetings, as required, including invites.
  • Support the resource by assisting with car park bookings and car parking permits for all car parks and sites, ensuring these are created and distributed in a timely manner.
  • External booking enquires, room bookings through ProSolution. Meeting external clients, liaising with departments such as Security, Catering, Cleaning and Hospitality. Raise appropriate invoices and record costing for budget purposes.
  • Maintain and update service record & contractors\' databases.
  • Create reports for the Head of Estates and Health & Safety meetings.
You should also be able to demonstrate:
  • GCSE\'s A*- C / 9 - 4 in English and Maths as a minimum
  • Excellent Administration and IT skills including MS Office packages
  • Time management skills, with the ability to prioritise workload and meet deadlines.
  • Able to work as part of a team to meet team priorities as well as the ability to work on your own initiative and find solutions.
