Xenia Estates have an exciting new opportunity available for an experienced Block Manager to join our growing Estates team to manage our
Student portfolio
. The ideal candidate will take a proactive approach to their role, be well organised, hard-working and solution focused, looking to progress within their career as part of a tight-knit and fast-growing Company.
The successful candidate will report to the Head of Estates, taking accountability for their portfolio while being supported by our wider Head Office teams and onsite staff members at various locations nationwide. A strong focus on customer service, onsite standards, compliance and client satisfaction is key.
Leasehold knowledge, specifically the Landlord & Tenant Act, and experience working in block management is essential, in addition to managing Major Works (Section 20), preparing Service Charge budgets, liaising with leaseholders, residents and external clients. A sound understanding of the Building Safety Act is ideal and candidates with industry-recognised qualifications (e.g. TPI or RICS) will have a significant advantage. Experience in the management of student accommodation is desirable but not a necessity.
Duties (not exhaustive):
Day-to-day management of the student accommodation portfolio - taking a proactive approach to the management while being reactive to any matters that may arise
Work with the wider management teams and onsite staff to ensure an exceptional level of customer service is provided to all stakeholders and onsite standards are upheld
Carry out regular site inspections
Report regularly to external clients and/or leaseholder groups
Attend leaseholder / client meetings where required and ensure regular engagement with leaseholder, residents and clients, eg newsletters and bulletins
Manage all repairs, planned maintenance and follow through on any cyclical plans
Appoint external contractors via Purchase Orders to manage repairs and upkeep standards, establishing and maintaining the relationships as required
Manage critical incidents efficiently, ensuring all key stakeholders are informed throughout
Prepare Service Charge Budgets
Maintain awareness of financial performance for each property in the portfolio, managing the budget and cashflow accordingly
Conduct quarterly financial reviews with the accounts team and carry out a final review before the sign off of Service Charge Accounts
Regularly review the portfolio purchase ledger, approving invoices accordingly, to ensure contractors are paid in a timely manner
Consult with the Credit Control Team regularly to monitor and manage debtor levels
Ensure compliance and building safety is always upheld for the assigned portfolio, in synergy with the Compliance Team
Take responsibility for any complaints received, ensuring the internal procedure is adhered to at all times
Assist with any legal enquiries, specifically relating to the sale of properties
Meet all assigned deadlines consistently, delegating responsibilities / projects where required
Line management of Estates Assistant & Maintenance Co-Ordinator ensuring regular 121's are conducted and the relevant support is provided
Promote and contribute to the Company culture and values
Experience & Qualifications:
Experience in Block Management (student accommodation desirable)
Working with on-site teams, managing staff, workloads and projects
Experience in Major Works, Section 20 consultations and Fire Safety Works
Experience of chairing AGM's, client / leaseholder / residents meetings and surgeries
Ability to prepare service charge budgets and regular reporting
Competent in understanding service charge accounts
TPI Member, ideally qualified to ATPI or MTPI level with the Knowledge of TPI guidelines and requirements
Knowledge of Landlord & Tenant Act, The Building Safety Act, Fire Safety Order and other standard leasehold legislation
Excellent relationship building and communication skills, at all levels
Knowledge of Property Management Systems such as Qube & DataStation
