The Estates PPM & CaFM Manager is responsible for ensuring all Trust-owned and occupied premises have planned preventive maintenance (PPM) tasks fully identified, scheduled, and delivered through the CAFM system. The postholder will manage the allocation and monitoring of PPMs, oversee backlog works, and escalate issues to contractors or project teams as required. This role plays a key part in supporting statutory compliance, health and safety policies, and risk management across the estate, ensuring that electrical, mechanical, and specialist systems are operated safely and efficiently. The manager will liaise closely with contractors, clinical and non-clinical staff, and internal estates teams, while also producing operational reports, audits, and performance updates. Acting as an authorised person where required, the postholder will contribute to the resilience of essential hospital services, minimising system failures, supporting business continuity, and ensuring safe environments for patients, staff, and visitors


Main duties of the job




Ensure all Trust-owned and occupied premises have planned preventive maintenance (PPM) tasks identified, scheduled, and completed through the CAFM system. Manage allocation, scheduling, and monitoring of PPMs, including backlog works, and escalate issues to contractors or project teams where required. Administer access and work permits for in-house staff and contractors. Liaise with contractors, clinical and non-clinical staff, and estates colleagues, providing professional engineering advice and technical support. Support the production and implementation of health and safety policies, protocols, and statutory compliance requirements. Complete maintenance audits, operational reports, and KPI/SLA monitoring to support performance management. Act as an authorised person (AP) for high voltage, low voltage, medical gases, PSSR and ventilation when required. Ensure safe and efficient operation of all site-wide electrical and mechanical systems, including statutory testing, inspections, and remedial actions. Contribute to resilience and business continuity by supporting emergency on-call cover, incident response, and infection control requirements. Assist with procurement, training, and development of estates staff, ensuring compliance with Trust financial and operational policies.

Detailed job description and main responsibilities




The Estates PPM & CaFM Manager will be responsible for ensuring that all planned preventive maintenance (PPM) tasks across Trust-owned and occupied premises are identified, scheduled, and delivered effectively through the CAFM system. The postholder will manage the allocation of maintenance tasks, monitor progress, and oversee backlog works, escalating issues to contractors or project teams when required. They will also take a lead role in the administration of access and work permits for both in-house staff and contractors.



The role requires close liaison with contractors, clinical and non-clinical colleagues, and estates staff to ensure effective communication and delivery of services. The postholder will produce operational reports, monitor KPIs and SLAs, and complete maintenance audits to ensure compliance with statutory and regulatory requirements. Supporting the development and implementation of health and safety policies and risk management protocols is a key responsibility, ensuring safe working practices across all estates activities.



As part of their duties, the postholder will act as an authorised person (AP) in areas such as high voltage, low voltage, medical gases, PSSR and Ventilation when required, and will ensure the safe and efficient operation of all site-wide electrical and mechanical systems, including statutory testing, inspections, and remedial actions. They will support resilience and business continuity through participation in the emergency on-call rota, responding to incidents, and supporting infection control measures.



The Estates PPM & CaFM Manager will also assist with procurement, training, and development of estates staff, ensuring compliance with Trust financial procedures and operational policies. By managing PPM processes and resources effectively, the role is critical to minimising risks, reducing system failures, and providing safe, compliant, and efficient environments for patients, staff, and visitors.
