Job Title: Part-Time Event Support Coordinator

Hours: Part-time, Monday-Wednesday, 9:30?am - 12:30?pm
Role Overview
This is a part-time on-site role for an Event Coordinator, located in Cheltenham. The Event Coordinator will be responsible for planning and managing events, coordinating with vendors, and ensuring smooth execution. Daily tasks will include event planning, customer service, sales, and maintaining effective communication with clients and team members. Additionally, the role entails managing event logistics and providing support to ensure attendees have a positive experience.
Key Responsibilities
Assist with planning and organising networking events, including managing logistics, coordinating schedules, and preparing event materials.
Liaise with partners, ambassadors, and venues to keep event information accurate and up to date.
Follow up with visitors and upsell the advantages of becoming a member..
Engage with members ahead of events to confirm attendance and maximise their experience.
Update event listings on our website, Eventbrite, and social media platforms such as LinkedIn and Facebook.
Maintain accurate records of event registrations, activities, and follow-up actions.
Arrange and coordinate guest speakers for events.
Attend events when required to provide on-site support.
Provide administrative assistance to the Director, including scheduling meetings and managing event-related inquiries.
Oversee basic financial tasks: track and reconcile event expenses, chase outstanding invoices, and liaise with vendors and partners about billing.
Manage receipts and general financial records related to events.
Qualifications & Skills
Strong organisational skills with a keen eye for detail.
Excellent written and verbal communication skills.
Ability to multitask and manage priorities across several events.
Previous experience in event coordination, administration preferred
Self-motivated with the ability to work independently and collaboratively.
Basic understanding of financial administration and budget planning.
