The Role



As Event Coordinator, you will assist the team with the

planning and delivery

of its busy schedule of

outdoor challenge events,

and will take ownership of your own small portfolio of

events.

The role will be varied, high paced and extremely rewarding. We are looking for a self-motivated individual, with an interest in, or experience of working within

Event Management

and / or the

Charity Sector

. The ideal candidate will have a passion for

outdoor events

and

sports

and will be motivated by working in a

small and expanding Business

. Typical working hours are 37.5 hours per week

The role will be

hybrid

, in-person days in London once every weeks, with option for more. There will be the opportunity to work at

several varied events across the event season

, gaining invaluable experience in the full end to end process of event planning and delivery. There will be the opportunity to work across multiple varied events for different charity clients, including trek, running, walking and obstacle racing. The role holder must be comfortable working both

independently

and as part of a

larger events team.


Key Accountabilities



Oversee the end-to-end planning, coordination, and delivery of assigned events to ensure a seamless, safe, and high-quality participant experience, supported by an Event Manager. This includes but not limited to: Creating and compiling event

Health & Safety

documents Creating and compiling event

Operations

documents Route planning using OS Maps and Google Maps Building

strong relationships

with clients, venues and stakeholders, working closely with them to develop a close-knit partnership. Notifying and liaising with

stakeholders and landowners

associated with events. Keeping

budgets

updated as required

On-site

Event Delivery Supporting the wider team with

supplier coordination and admin

, this will involve booking suppliers, creating arrival instructions and meeting deadlines as required by individual Event Managers. Attend regular client meetings with Event Managers and Partnerships Managers Developing strong relationships with

freelance operations staff

, ensuring they are well briefed, trained and managed for individual events. Contributing to Company creative

ideation and innovation

sessions Attending

events on-site

and assisting with their management. Conducting recces and site visits for future events

Assisting with general administrative processes

, including keeping information organised, tracking important dates, and staying aware of updates or changes that may affect daily operations. Contributing towards improving our

social and environmental impact

Knowledge, Skills and Attributes:



Essential

One - two years' experience in

Event Management or Operations

Excellent

planning & organisation skills

, including project planning, time management and prioritising skills. Exceptional

attention to detail

, ensuring thoroughness in all tasks to deliver a

high quality

of work Excellent written and verbal communication skills An ability to

juggle multiple projects

and deadlines Good knowledge of Microsoft Office, particularly Word, Excel, PowerPoint and Outlook. Full UK driving license and be willing to drive a variety of vehicles including Company vans, ATV and 4x4 vehicles.
Desirable

Experience with Microsoft Teams & using Share Point Has worked in the outdoor events sector. Active interest in doing

better business

, sustainability and

B-Corps.

Have enthusiasm for events,

How to apply



Role Location:

Hybrid / Remote. 90% Remote based with one day bi-weekly to be spent at our London office (London Bridge). Some UK travel expected in the event season (mostly at weekends).

Salary:

25,000 - 30,000 depending on experience

Type of Role:

This is a 12 month fixed-term position with the potential to become a full-time permanent role. (37.5 hours per week) with a 3-month probationary period.
