We're looking for an Event Coordinator in EMEA to focus on our regional events in the UKI and Nordic markets, and deliver various company events, including third-party sponsorships, team partnership events with AWS, executive dinners, customer workshops, customer roundtable events, and more.
Work location - hybrid from London
Requirements:
3+ years of experience in Business Events Management or Coordination, or marketing program management roles
1+ year of working experience in Marketing role(s) in the tech industry
Experience in running 3rd party sponsorship and customer events
Proven ability to juggle multiple projects simultaneously with a keen eye for detail
Experience working under pressure with excellent organizational and time management skills
Excellent communication, negotiation, and interpersonal skills to build strong relationships
Openness to work on various platforms and technologies
Fluent in written and verbal communication skills in English. Additional European languages - an advantage.
Knowledge of Google Suite - an advantage
Knowledge of Amazon Web Services - an advantage
Responsibilities:
Ownership of the planning and execution of selected in-person events in the UK, Ireland, the Netherlands, Sweden, and more
Create and maintain event documentation: briefs, toolkits, KBYG, and trip reports.
Event budget tracking and invoice management
Managing registrations for events and communication with teammate attendees
Create and execute communication plans for each event (invitations, reminders, internal updates, post-event messaging)
Anticipating staffing requirements on-site to secure additional resources in advance
Provide admin support on budget, branded merchandise and swag, briefing documents, post-event reporting, and ad hoc requests
Act as a brand ambassador, ensuring all events adhere to brand guidelines and bar-raising customer experiences
Liaise with Sales teams and office managers to support requests for event materials, travel, and events-related logistics
Define and track the follow-up process with the Business Development team
Ensure leads are assigned and tracked in CRM
Report on event performance and provide written trip reports
Research, source, and negotiate budgets and contracts with international venues, suppliers, and contractors for selected events
Willingness to travel internationally 15% of your time to supervise on-site events' activities
