Job Purpose


The Event Logistics Coordinator plays a vital back-of-house role within the Production team at Hedonist Creative. Responsible for ensuring the smooth running of all event logistics and warehouse operations, the role supports internal teams by managing equipment, transport, suppliers, and event documentation. While not client-facing or responsible for onsite delivery, this role is essential to the overall success of every event, enabling front-of-house teams to focus on client-facing delivery.

Warehouse & Asset Management



Maintain warehouse organisation, ensuring all equipment is stored safely, well-maintained, and ready for use at events. Oversee stock control, equipment tracking, and asset management systems, keeping records accurate and up to date. Monitor warehouse safety, cleanliness, and efficiency, ensuring smooth internal operations. Support the reuse and adaptation of existing assets where appropriate to promote sustainability and reduce waste.

Event Logistics & Coordination



Coordinate transport schedules, deliveries, collections, and crew logistics in collaboration with suppliers and internal teams. Liaise with suppliers and contractors for equipment hire, returns, and transport requirements, ensuring timely and cost-effective solutions. Prepare and manage all event documentation, including permits, risk assessments, insurance, and schedules. Support the Production Manager in maintaining production schedules and budgets. Act as the key point of contact for internal teams on logistical and warehouse matters. Ensure smooth handovers with Event Managers and Event Coordinators to guarantee that all event requirements are prepared and dispatched correctly. Manage post-event processes, including returns, equipment checks, and resetting the warehouse for the next project.

Internal Collaboration & Project Support



Work closely with Production, Accounts, and Creative teams to ensure internal alignment on event logistics and asset needs. Provide clear and timely communication with internal stakeholders to ensure readiness and prevent operational issues. Identify opportunities to improve warehouse organisation, asset management, and logistics efficiency. Follow all internal processes and SOPs, ensuring consistency, accountability, and traceability in all logistics activities

Skills & Experience



Experience in event logistics, warehouse management, or a similar operational role. Strong organisational and time management skills, with the ability to manage multiple priorities. Proficient in using logistics, inventory, or project management systems (training can be provided). Excellent communication skills for internal coordination and supplier liaison. Strong problem-solving abilities with a practical, proactive approach. High attention to detail and commitment to operational accuracy.
