Job Description

The Tech Rally (TR) Program delivers immersive, hands-on technology experiences

through its fixed (Tech Rally Residency/TRR) and mobile (Tech Rally Mobile/TRM)

showcases. These platforms allow clients to explore the latest high-tech computer

solutions, from desktops and laptops to advanced peripherals, in dynamic, interactive

environments. Whether at the London Residency or on-the-go with the TRM EMEA

program, clients engage with cutting-edge innovations tailored to their needs.

Reporting to the Sr. Director of Key Accounts and collaborating with global teams, the

TRM Event Marketing Coordinator (EMC) is responsible for managing the day-to-day

operations of the London-based TRR and TRM EMEA programs. This role

encompasses operational coordination, technical support, and administrative oversight,

ensuring seamless execution of events and maintaining the highest standards of

service.

The EMC brings professionalism, adaptability, and exceptional communication skills to

the role, liaising with internal and external stakeholders to uphold program standards

and improve efficiency. With expertise in event management, scheduling systems, and

technology troubleshooting, the EMC ensures the success of high-profile customer

engagements while promoting safety, security, and operational excellence.

ESSENTIAL DUTIES AND RESPONSIBILITIES



Communications



Interact with customers, perform Residency opening and closing duties,
recordkeeping, receiving, inspecting/recording of shipments/supplies, and stocking as

required.

Provide information about the TR Program to sales makers via email, phone, and
video conferencing.

Communicate with regional teams about relevant upcoming appointments as
needed/requested.

Attend Tech Rally weekly internal/client meetings. Regularly communicate with the Sr. Director (Brand Revolution) regarding productivity
and efficiency, anticipating and troubleshooting for optimal operation.

Regularly communicate with the Program Manager (Account Manager) on the program
status and inform them of any required action.

Regularly communicate with Program Operators (Showplace or equivalent) to ensure
efficient operation and escalate problems to Program Manager (Brand Revolution) as

needed.

Communicate with truck teams for daily tasks, best practices, and truck/product
maintenance issues.

Report results of customer surveys and event photos to host sales makers. Develop relationship with the sales teams to encourage additional appointments and
repeat customers

Maintain flexibility to work with the sales teams and program as needed
Operational

Manage intake of appointments for TRR and TRM by communicating with the primary
client, their customers, and coordinating logistics with TRM trucking agents.

Oversee and communicate internal scheduling for TRR and TRM EMEA using
scheduling software or equivalent.

Create Calendly and Splash events for TRM appointments, monitor responses, and
inform hosts/client sales makers of RSVP status.

Ensure each TR appointment is executed to Brand Revolution standards, review post-
event reports, and sales maker surveys.

Train new staff on intake, setup, and breakdown processes. Coordinate shipment of new products to Tech Rally Programs and return
outdated/replaced systems to the warehouse.

Coordinate shipments of existing products to other programs as needed/requested. Book customers/attendees into the London Residency Building security system. Plan events and work assignments with safety and security in mind.

Technical



Set up systems with screen fill, labels, and appropriate showroom settings for all newly
received products.

Learn and manage Residency monitor wall and touch-table databases. Update CMS, pre- and post-event, with appointment status and any missing
information.

Update North American and EMEA 1) inventory 2) sales-facing product lists, and 3)
product placement schematics each time a new product is added.

Help program staff troubleshoot equipment. Update CMS and scheduling systems (TeamUp or equivalent) with EMEA
appointments.

Administrative



Create and update budgets to allow for timely client approval for all appointments. Reconcile budgets and provide the Program Manager regular updates on appointment
budget status.

Submit requests to ADP/insurance companies to obtain General Liability or Workers'
Compensation Certificates of Insurance as required for events.

Add post-event data, including photos, customer surveys, and sales maker surveys to
Box.

Produce regular reports to analyze location and overall performance, ensuring proper
stock levels of inventory and maximizing interactions.

Safety and Security

Observe facility security and setup/shutdown protocols. Promote visitor safety and building security. Assist with building evacuation if
necessary.

Continuously assess conditions to ensure the safety of individuals, the workplace, and
visitors.

MINIMUM QUALIFICATIONS



Degree in marketing, events, PR, or equivalent experience 3 years' experience in event planning, experiential marketing, or comparable
corporate environment

Ability to go into the London Proper office 3-5 days per week, as required by
business needs, sometimes with minimal notice

Personable and professional communication acumen across all mediums Experienced in handling a wide range of administrative and executive support-
related tasks, while working independently with little or no supervision

Ability to travel as needed to support Tech Rally Mobile, anticipated 25% A valid passport and the ability to travel internationally as needed

QUALIFICATIONS



PREFERRED French and/or German language proficiency Previous experience in a roadshow or pop-up event marketing campaign or
traveling event series, additional retail/venue experience, brand ambassador

experience, or customer service experience in a tech space

KNOWLEDGE, SKILLS, AND ABILITIES



Strong working knowledge and comfort/proficiency with high-tech computer
solutions

Able to learn quickly, anticipate needs and thrive in a fast-paced environment Able to communicate clearly and courteously, verbally and in writing, with internal

experiences for others

Excellent attention to detail, good organization, analytical and reasoning skills Ability to keep detailed inventory sheets and keep track of product throughout the
program

Ability to work with others in a cross-functional and across-the-pond team
environment

Proficient with MS Office Suite - i.e., Word, Excel, and Outlook
