You will have experience as an Event Manager / Coordinator and are a stickler for detail, highly organised, with a 'can do' attitude, happy to get hands on and run our AutoSens and InCabin events to the best of your ability, on-time and on-budget.
It's important you are a people person with a strong sense of customer service. Plus, your ability to negotiate and manage our event suppliers, to keep all stakeholders happy is important to succeed in this role. We will support you to make the most of your great communication skills with our most valued relationships.
Responsibilites
Event logistics and operations responsibility - ensuring events run smoothly, customers are happy and suppliers are delivering on their promises.
Contract specification and negotiation - sourcing suppliers to meet budget, deadline and quality expectations, as well as legal compliance.
Cost tracking for relevant line items of event budget (working with Finance and Operations Manager) - forecasting and flagging variation from budget.
Support Operations Manager with development of onsite logistics plan, coordinating suppliers, staff and customer requirements in a tightly run schedule, including onsite staff FAQ document, event host and crew briefing documents.
Sponsorship fulfilment, including order of lanyards, water bottles and other collateral.
Manage design and ordering of event signage, as per signage plan, developed in coordination with Operations Manager and signage subgroup.
Writing Joining Instructions and other delegate logistics communications.
Supporting the Operations Manager onsite with the event delivery, consisting of varying duties.
Undertaking other reasonable duties and responsibilities appropriate to the position as allocated by line manager from time to time.
Qualifications
Proven experience in events industry, conferences / exhibitions being advantageous
Excellent organisational skills with the ability to prioritise tasks effectively
Strong written and verbal communication skills in English
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with database management systems (such as HubSpot and Trello)
Ability to work independently as well as part of a team in a dynamic environment
Attention to detail and high level of accuracy in all tasks undertaken
