Job Description

A four star resort delivering five star service levels, the Vale Resort comprising of a 143 bedroom hotel with five food outlets, two championship golf courses, and Wales' largest spa, health, and racquets club. The recent expansion of the resort now includes newly developed Hensol Castle comprising of 20 bedrooms and extensive wedding and conference business.

Due to exceptional demand, we are looking to increase our team at the resort and are currently recruiting for a Assistant Events Manager.

Working as part of the Resort management team, you will be responsible for the running of the C&B business and Bar, ensuring the implementation of the Company's Business and Strategic Plan across the departments under your control. Ensuring the highest quality of customer service, you will utilise your department supervisors to oversee your departments ensuring sales, stock, costs and staff performance is consistently managed, and staff are fully trained in all company policies and procedures.

Operations

Assist with the management of staff rotas, utilising both permanent and occasional staff to ensure that optimum staffing levels and experience levels are achieved across the departments. Assist the Events Manager in ensuring organisers and all guests are being acknowledged and apAssist proached to the 4-star standard of service. To also include events in the Hotel, Leisure Club, Golf Club, In Door Area, Hensol Castle Estate and any other events run in conjunction with The Vale Resort. Champion customer service throughout the departments, regularly reviewing departmental standards and demanding best practice from all staff. Handle all organiser/guest complaints, ensuring all queries are followed through in a swift and professional manner. Monitor and influence housekeeping standards at all times. Ensure all staff are economical in energy consumption highlighting bad practice and correcting as necessary. Consistently monitor the standard of products being served continually feeding back organiser/guest opinions and comments to the Events Manager & Executive Resort Chef. To be fully knowledgeable and conversant with menus, wine lists, banqueting etiquette etc. Ensure that F&B standards comply with all current UK and EEC regulations with regard to the Weights and Measures Act and Trading Standards. Support the Events Manager in communicating and allocating targets and monitor departmental performance to ensure that overall sales targets are achieved or exceeded. To ensure all pay and training records are completely accurately and passed through to the HR department in a timely manner. Implement marketing promotions across your department, checking to ensure that POS meets trading standards legislation at all times. Monitor stock to ensure 100% availability of key lines is achieved. Support the Events Manager in implementing budgetary controls to ensure departmental salary budgets are achieved in line with business levels. To be fully knowledgeable of the V1 systems present within your departments ensuring all staff are trained and aware of back up procedures in the event of system failure. Ensure the Resort F&B operation runs smoothly by sharing staff and management cover across the departments. Compile, review and update the department SOP manual in line with business standards. Prepare reports as requested by the Events Manager. In the absence of the Events Manager, carry out duties held by the above position. Carry out the role of the Duty Manager as and when required.
Staff Management & Development

Promote an environment that encourages staff learning and development, supporting all training opportunities including mentoring and coaching staff whilst also supporting the NVQ programme. Provide effective communication to your teams through regular team briefings ensuring the Events Manager is fully aware of all issues. Support & implement the PDR process within your departments and oversee the development of departmental staff through effective planning and evaluation of training. Motivate staff through effective management. Continually review performance management, addressing and resolving issues in a fair, professional and timely manner. Liaise with the HR team for the recruitment of all staff. Monitor absence levels taking any necessary action to the Events Manager to review & rectify absence issues. Support in disciplinary proceedings with the Events Manager where necessary ensuring a full and thorough investigation is complete.
Department Appearance

Ensure the function rooms under your control are checked on a daily basis to ensure they are clean and tidy and set up according to the client specifications and in line with the department SOP. Ensure all equipment, furniture etc is checked on a regular basis and any issues highlighted and dealt with appropriately in supporting Health & Safety policies at work. Monitor and influence housekeeping standards at all times throughout functions rooms, public area and other areas of the resort. Supporting other departments if necessary. Review the stock displays to maximise sales opportunities throughout the Events department. Ensure excellent levels of housekeeping within the storage and back of house areas.
Health & Safety

Ensure that safe working practices are adhered to with the Events department, correcting any issues and implemet training to all staff. Ensure staff are aware and adhere to the company health and safety policy and fire procedures. Carry out risk assessments and hazard reports as required. Ensure health and safety documentation is maintained and updated as required in line with any changes to legislation. Ensure that accidents are reported correctly against current legislation. Ensure that all staff wear the appropriate uniform or personal protective equipment at all times. Ensure all contractors are approved and have a valid permit to work before authorising their activities. In the absence of the Events Manager, attend the monthly health & safety meetings ensuring any issues are highlighted and resolved in a timely manner.
The ideal candidate will have previous managerial experience in an events environment. You will be required to be motivated, have excellent communication, leadership, and customer service skills. You will be confident whilst also having great attention to detail and excellent selling skills.

The role requires flexibility to work between the Resort's opening hours and you must be able to work 5 days per week including weekends and bank holidays.
