You will be responsible for end-to-end planning, organising and delivery of a range of events including vibrant music events, elegant weddings, and corporate gatherings in a fast-paced working environment.
Key Responsibilities :
Client Management
Build and maintain strong relationships with customers, understanding their needs and objectives for each event
Serve as the point of contact throughout the planning process and on the event, day providing guidance, support and updates.
Following up post event to check customer satisfaction.
Planning and Logistics
Create comprehensive event plans, including timetables, catering requirements, supplier information, and floor plans
Arrange advancing of live events, detailing riders, equipment requirements, get in and get out crew,
Complete and ensure event set ups are completed to the standard expected as laid out by the customer and the standard operating procedure as laid out by the business.
Foster strong interdepartmental communication to ensure event details are aligned with customer expectations.
Onsite Execution
Oversee event set up, execution and breakdown ensuring all elements are delivered in line with standard operating procedures and to client satisfaction
Act as the main point of contact on event days, troubleshooting any issues that arise ensuring seamless experience for clients and attendees
Coordinate Front of House operations staff including food and bar staff, security staff and external contractors.
Ensure all external contractors have submitted the necessary documentation in advance of the event, this will include insurance cover, relevant Health and Safety certificates i.e. rigging
Ensure compliance with organisational health and safety polices, licencing policies and venues security policies.
Required Specification
Degree in Hospitality Management or Event Management or a related field.
1 years proven experience in event coordination or similar role, in a fast-paced environment
Excellent communication skills written and verbal, and interpersonal skill, with a proven ability to collaborate across teams
Excellent organisational and project management skills with strong attention to detail
Ability to work under pressure, manage and prioritise multiple tasks.
Self-Motivated, proactive, and a strong team player
Flexibility to work irregular hours including evenings and weekends
Proficiency in Microsoft office 365, and Event Management software
Desired Specifications
Demonstrated experience in management of various aspects of live events from concept to completion
Valid driving licence
Experience with Hybrid events and associated technologies
Knowledge of Current events industry trends
Full first aider certificate
Scottish Personal Licence holder or be willing to work towards one
