VANRATH are delighted to be assisting a Prestigious 4* Hotel with the Recruitment of a Events Coordinator to join a growing and dynamic workplace based in Belfast.

Responsibilities:
This role is responsible for liaising with clients, coordinating logistics, and ensuring that every event is delivered to the highest standard of service. This is an exciting opportunity for an enthusiastic hospitality professional with excellent organisational skills and a passion for creating memorable guest experiences.
Role Responsibilities
Proactively work with current and target clients to build a regular and repeat client network.
Identify and pursue new sales opportunities by promoting the venue's event spaces, packages, and services to prospective clients.
Support the hotel sales team by conducting site visits, showcasing facilities, and preparing tailored proposals to convert enquiries into confirmed bookings.
Maintain strong relationships with existing clients to encourage repeat business, referrals, and upselling of additional services.
Assist in planning and organising weddings, corporate meetings, private functions, and hotel-hosted events.
Act as a key point of contact for clients, responding to enquiries, confirming details, and providing excellent customer service.
Prepare event documentation, including function sheets, schedules, and set-up instructions for internal teams.
Coordinate with hotel departments (F&B, Front Office, Housekeeping) to ensure event requirements are clearly communicated and delivered.
Liaise with external suppliers when required (e.g., florists, entertainment, AV support).
Monitor event inventory such as decor, equipment, and stationery, reporting shortages to management.
The Ideal Person:

  • Previous experience in event coordination within a hotel or hospitality environment.
  • Knowledge of event planning processes, including function sheets and scheduling.
  • Ability to work effectively within a team and build strong working relationships, including external suppliers and contractors.
