The Role




We are looking for an experienced, creative and highly proactive individual to provide hands-on events management support in a dynamic and fast-paced environment. As we are growing exponentially, so does the profile and scale of the events we organise and partner with.



The role entails supporting the Events team with the delivery of a wide range of Catapult events including our annual Connected Places Summit, showcase events, webinars, as well as supporting our participation in external events.


The Catapult also hires out several event spaces to high-profile clients within the Urban Innovation Centre (our offices). The Events Coordinator will support the team with venue hire enquiries (both internal and external). You will be responsible for supporting with catering and staffing arrangements, as well as supporting the delivery of the events within the venue.


Responsible for the delivery of Connected Places Catapult events in line with the organisation's KPIs and Marketing targets. Responsible for the shaping of event briefs together with key internal stakeholders for your event projects. Responsible for the delivery of all internal and external client hire events in the Urban Innovation Centre. Responsible for the liaison with, and professional management of, clients hiring the Urban Innovation Centre venue spaces. Accountable for internal liaison with IT and Facilities teams to ensure smooth delivery of all internal events in the Urban Innovation Centre. Lead contact in events with IT and facilities to ensure smooth operations for internal and external events in the Urban Innovation Centre. Responsible for liaison with, and management of, all relevant event suppliers to deliver best-in-class physical, virtual and hybrid events. Accountable for the proactive structure of event marketing plans with marketing colleagues. Accountable for raising Purchase Orders and contracts with suppliers, finance, procurement, and legal teams. Responsible for all post-event reporting for internal, external client hire and any project related events. Contributes ideas and new approaches to improve and scale event management processes across the Events Team to drive efficiency. Ensuring an ethos of equity, inclusivity and diversity underpin your work activity, contributing to inclusive innovation across all Catapult activities. You may be required to undertake any other reasonable duties to support the Catapult in achieving its strategic outcomes and ensure effective business operations.

Requirements



Proven track record in delivering physical, virtual and hybrid events, ideally in a B2B and/or B2G marketing team. Demonstrable experience of managing multiple projects (multi-tasking) and working to tight deadlines. Proven track record of assuming ownership over projects, taking accountability, and moving within short timeframes to implement ideas. Demonstrable experience in delivering measurable results in a fast-paced environment. Proven experience in managing end-to-end event logistics for both in-person and virtual events. Experience of working with commercial clients and negotiating contracts and deliverables. Proven experience in improving events on the back of feedback to increase ROI for future events. Proven experience of working with diverse stakeholders at all levels and structuring event objectives. Proven ability to work well with multi-disciplinary, distributed teams and ensuring they deliver against event timelines. Self-starter and self-learner constantly looking to deepen their knowledge. Excellent time management, attention to detail and communication skills. Superior interpersonal, oral and written communication skills. Ability to think strategically about the value add of events in driving marketing and commercial objectives. Experience working with Airmeet virtual event platform, CRM systems, and Cvent registration system or the like. Bachelor's degree in relevant field of study or equivalent.
