This is a customer-facing role with a dual focus: supporting the sales team in engaging prospective tenants and partners, while driving content creation that reflects Colony's brand, community, and spaces. You'll work closely with both the sales and marketing teams--making sure your output aligns with the overall brand strategy, planned campaigns, and upcoming building launches, events, and activities.
The Role
Purpose:
You will join the newest team at Colony, led by our newly promoted Events Manager you will play a pivotal role operating across the entire Colony portfolio. You as a team will be responsible for the conception, execution and improvement of Colony's event strategy going into 2026 and beyond. This role requires a basic understanding of the day to day execution of events, administration of the bookings process and dealing directly with customers/clients/suppliers.

Key Responsibilities
The Events Coordinator role will assist in the day to day execution of Colony's events programme and the administration of our external meeting room and events bookings. They will look to contribute to the promotion of the brand both through working directly with other teams such as Marketing as well as proactively where required.
The Events Coordinator will work with, and report to the Events Manager. They will also work closely across departments with Marketing, Site, Community, Sales & Systems teams to ensure the smooth running of our events operations and wider business goals. Their on the ground feedback will be pivotal in ensuring that the annual events strategy is on track, events are running smoothly and events revenue is consistently going in the right direction.
The Events Coordinator will execute the strategy set by the Events Manager and overseen by the Head of Operations and Strategy. They will assist in identifying and nurturing wider strategic partnership opportunities across the city. They will coordinate inbound meeting room queries and events bookings and working to drive revenue from these and identify where there could be improvements to the spaces and changes to future developments.
Event Coordination -
ensuring that the venue looks its best at all times, meeting the needs of our event clients and executing the running of events.
Including but not limited to:
- Alongside the Events Manager, consult with Site Teams to help curate ideas for a well received and efficient community events programme across our Colony venues.
- Execute the running of our paid hire events across all Colony venues. Set up and down of events on behalf of clients.
- Ordering catering and dealing with suppliers directly
- Setting up AV and ensuring guests requirements are facilitated.
- Welcoming & directing guests or clients.
- Being on hand to assist during the event(s)
- Returning the space to the normal state post event working directly with the site teams to coordinate.
- Be prepared to give client information and tours of relevant event & meeting spaces.
Event Administration
-alongside the Events Manager & Marketing team your role will be to help get the Colony brand out to a new customer base. Ensure that as a team all bookings enquiries are dealt with responsively and appropriately. Place bookings in our system (Nexudus and Asana) where required and distribute relevant digital assets to both the Colony team and clients.
Including but not limited to:
- Being a brand ambassador for colony events via networking and performing outbound activity to local businesses, potential strategic partners, event planners etc alongside contacts already warm to Colony
- Work with appropriate partners such as MYP, Prolific North and others to mutual benefit.
- Respond to email, phone and in person enquiries with a professional attitude and sales mindset.
- Liaise with the Events Manager and Marketing to ensure accurate information is communicated.
- Updating our events and meeting room listings across 3rd party sites.
- Develop an understating of our booking system, Nexudus alongside Asana.
- Assist with other relevant administrative tasks as required.
Event Communication
- a core part of the role is to ensure open, transparent and clear communication between departments in relation to events.
Including but not limited to:
- Be clear and consistent when communicating with both internal and external stakeholders.
- Ensure all stakeholders have the key information required for events to run smoothly.
- In the event of a change in plans, communicate this promptly to the relevant parties.
- Communicate with both workspace members & external clients about our events programme.
