Job Description

This role is for 18.25 hours p/w for 12 weeks. For this role, you will need proven experience in event management, strong organisational and communication skills, and confidence working with budgets, stakeholders, and digital tools including social media. In this role, you will coordinate and deliver a wide range of departmental events, ensuring high standards, effective promotion, and strong collaboration across teams and suppliers.




Duties:





Provide end-to-end logistical, operational, and administrative support for Department events, ensuring professional execution and adherence to established event processes. Manage event budgets, process purchase orders and invoices in line with Oracle standards, and maintain accurate financial records and reporting. Collaborate with marketing and digital teams to promote events through website content, social media, and promotional materials. Liaise with internal designers and external suppliers as needed. Prepare event briefings, updates, and post-event reports including attendee feedback, no-show analysis, and recommendations for future improvements. Maintain strong relationships with suppliers, finance teams, and Department teams to ensure effective collaboration and cost efficiency across all events. Support wider Department events and student-led initiatives, share best practices, uphold Department values and branding, and represent the Department at on- and off-site events as required.


Selection criteria:





Proven experience in events management. Excellent communication skills: the ability to draft correspondence/communications in relation to all aspects of event planning. Strong organisational skills with the ability to work under the pressure of tight timescales and remain task focused High level of stakeholder management skills with both peer and senior colleagues. Experience of reporting and presenting to diverse stakeholders. Very good budget monitoring and control skills. Social media marketing experience, computer literate and particular experience of using PowerPoint and Excel.
