At Energy Aspects, our talented people and teams are the foundation of our success. We are seeking a proactive and detail-oriented Events Manager to join our Marketing & Events team. The Events Manager will play a key role in the planning, coordination, and delivery of a diverse range of events, including webinars, in-person client events, and our flagship industry conference. This is a hands-on role that requires strong organisational skills, a keen eye for detail, and the ability to manage multiple projects in a fast-paced environment. The successful candidate will work closely with colleagues across the business to ensure the smooth running of all events, delivering exceptional experiences for our clients and stakeholders.
Duties and Responsibilities:
Event Planning and Execution:
Support the planning and execution of all events, ensuring timely delivery, adherence to budget, and the highest quality standards.
Coordinate logistics, including venue selection, vendor liaison, and on-site operations.
Manage a busy schedule of events, prioritising tasks for efficient delivery.
Be hands-on and assist with the physical setup and breakdown of events as required.
Oversee the organisation and delivery of live webinars, including technical setup, speaker coordination, and attendee engagement.
Process and team support:
Follow established processes for event planning and execution to ensure consistency and quality.
Gather feedback and insights post-events to support continuous improvement, and suggest enhancements to event processes and procedures.
Work collaboratively with colleagues within Marketing and across the broader organisation.
Ensure compliance with health and safety regulations and company policies during all events.
Utilise CRM systems to manage event invitations, track attendee engagement, and maintain accurate records of client and prospect interactions.
Commercial alignment and Budget Management:
Work with the marketing team to ensure events align with brand guidelines and assist in developing and executing promotional strategies to maximise event visibility and attendance.
Ensure consistent messaging and branding across all event materials and communications.
Support budget management, ensuring cost-effectiveness and financial accountability.
Identify opportunities for cost savings and process improvements.
Vendor management:
Build and maintain strong relationships with vendors to ensure high-quality service.
Support the negotiation of contracts and agreements to optimise cost-effectiveness and service delivery.
Monitor vendor performance and help resolve any issues to ensure seamless event execution.
Stakeholder engagement:Serve as a point of contact for events, maintaining strong relationships with key stakeholders and clients.
Stay updated on industry trends and best practices to enhance our event offerings.
Qualifications:
Proven experience in event management, with a track record of successfully delivering a range of events, including high-profile conferences and live webinars.
Ability to work in a fast-paced environment, managing a busy schedule of in-person events, client events, and webinars, including a flagship high-profile conference.
Strong leadership skills with experience managing and developing a team.
Excellent organisational and project management abilities.
Excellent communication and interpersonal skills, with the ability to build relationships with stakeholders.
Ability to work under pressure and manage multiple projects simultaneously.
Proficiency in event management software, CRM systems (Salesforce), live broadcasting and webinar platforms (such as Wistia and Vimeo).
Flexibility to travel and work outside regular business hours as required.
Experience in B2B marketing, particularly within the energy sector, is a plus.
