The Role
As Events Manager you will support in growing the events department, which includes enquires for restaurant, bar, cafe, gym, spa, meeting rooms, conferences and any space within the building we have available to hire.
You will be responsible for maintaining, and expanding enquires, ensuring customers are always provided with a high-level professional service. You will understand and be passionate with the values and vision of Sopers House.
Duties include:
Manage meeting and events enquiries, book in viewings for private or exclusive event hire, send proposals, and liaise with accounts for invoice purposes.
Oversee and update the marketing strategies, ensure we are creating engaging content for our social media platforms, email campaigns, adverts, leaflets, flyers, brochures and newsletters, and manage the production of print materials.
Manage and update functions sheets with each Head of Department, to ensure each event is running as smoothly as possible.
You will be the main point of contact between the Operations and Food & Beverage department for all events.
Ensure that all events are delivered in line with agreed budgets and time frames.
Oversee our company website and mobile application, regularly update news stories and ensure it's easy for our clients to navigate.
Work alongside your team to implement the strategy, planning, project management and evaluation of marketing campaigns.
Forecasting the annual and quarterly budgets, as well as managing campaign budgets.
Communicate provisional and confirmed bookings relevant Head of Departments.
Place processes with contracts and terms and conditions to clients.
Create and manage pricing structures for a variety of events e.g. day delegates, dinners and conferences to ensure the business remains profitable.
Consistently liaise with clients to understand event requirements and attend key client meetings to receive correct information in preparation for an event or meeting enquiry.
Manage and maintain customer relationships and provide customer service after care, to ensure client is satisfied with their event or meeting booking
Attend and be present for all internal events taking place at Sopers House.
Support with creating internal systems or processes for our Meeting & Events department.
Work closely with Head Chef and request for menu ideas, to help support with client events or meeting enquires.
Design, develop and maintain operational SOP's to ensure consistency in service standards.
Work with client and Food & Beverage team to develop innovative strategies to attract and maintain new and existing clients.
Keep up to date with industry trends and advance.
Manage and train staff that directly report into you. Provide training, guidance and support, to ensure they perform efficiently and effectively at all times.
Assist with appraisal and probation reviews, setting KPI's and targets for staff.
Update and maintain the rota on a weekly/monthly basis.
Assist other departments with ad-hoc duties, as and when required.
General:
Dress code is professional attire and will be required to be worn at all times.
What is expected of you
Previous experience as an Events Manager, Marketing Manager or similar role
Organised, efficient and have the ability to work under pressure
Strong project management experience
Attention to detail
Self-motivated and passionate in events and hospitality
Excellent verbal and written communication skills
Ability to manage and maintain relationships at all levels
