Events & Performer Manager Maternity Cover
to join our growing team.
Role Overview:
Maternity cover - This role is ideal for a highly motivated individual with a background in the arts, exceptional administrative abilities, and a passion for working with performers and children's programming. You'll play a crucial role in ensuring smooth preparation for event operations , managing performers and workshop delivery, and maintaining the administrative backbone of our events.
4 days per week at our workshop/office in Wallsend. Days can be flexible but Fridays and Mondays would be required at times.
Key Responsibilities:
Event Logistics & Talent Coordination
Plan and oversee all logistical elements of events and workshops, from concept to execution
Source, interview, and cast performers suitable for a wide range of roles and environments
Schedule and manage workshop staff and performers, ensuring all team members are briefed and prepared
Assess performer/staff suitability quickly and effectively based on experience, character, and role requirements
Manage client communications, contracts, onboarding, and feedback
Administration & Operations
Maintain detailed and accurate administrative systems including event schedules, booking forms, performer databases, and risk assessments
Handle all documentation including contracts, invoices, insurance forms, and workshop materials
Support compliance with health & safety, safeguarding, and GDPR regulations
Create and distribute event packs, staff briefs, and logistics schedules
Track budgets, manage supplier communications, and support with event reporting and post-event evaluation
Work closely with the wider team to ensure administrative efficiency across all project stages
Required Skills and Experience:
Demonstrated experience in event logistics, preferably in the arts, education, or live performance sectors
Strong administrative background with confidence managing multiple workflows and documentation
Familiarity with performer and workshop coordination, including casting processes
Excellent written and oral communication skills
High level of attention to detail with the ability to manage time and priorities effectively
Strong interpersonal skills with the ability to communicate confidently with performers, clients, and colleagues
A proactive problem-solver who thrives in a fast-paced environment and can make sound decisions quickly
Proficiency with Microsoft Office and project management tools (e.g., Asana or similar)
Desirable:
Experience working with children or coordinating family-focused programming
Background in performing arts, theatre, or creative education
