Executive Assistant – Admin & Finance

Job Description

We're looking for a highly organised, proactive, and dependable Executive Assistant--admin and finance--to join our growing group of businesses. You'll work closely with Mike Sherwood, Aesthetic Business and Marketing Coach, supporting operations across multiple companies within the group, including Mike Sherwood Coaching, FreshOnline, Aesthetic Web, and La Cara Aesthetics.

This hands-on role is ideal for someone who enjoys variety and is confident managing a blend of administrative, communication, and finance responsibilities. The role is split roughly equally between general administration, financial support/bookkeeping, and communication management.

Key Responsibilities



Manage inboxes (Outlook), WhatsApp, and social media DMs etc Format and update documents, proposals, and reports Maintain and update CRM systems and client records Handle bookkeeping tasks: invoices, payments, reconciliations, and Xero admin Liaise with the accountant/bookkeeper and track financial performance Support reporting and KPI tracking across coaching and marketing activity Assist with business and client organisation across all brands

Essential Skills & Experience



Strong organisation, time management, and communication skills Confident using Microsoft Office (Word, Excel, Outlook, PowerPoint) Proven experience using Xero for bookkeeping/admin Familiarity with CRM systems (e.g. Monday.com, Pipedrive, HubSpot, etc.) Comfortable managing communications across multiple platforms Able to handle sensitive business information with discretion Previous experience in a similar admin, EA, or finance support role preferred

. We're open to either full-time or part-time applicants, and offer flexible working hours with one day per week from home (following successful probation).
