About the role:



Diverse Diagnostics is seeking a highly organised, proactive, and detail-oriented Executive Assistant to provide vital support to our executive team. This dual-role position is ideal for someone who thrives on managing complex administrative tasks while also independently coordinating cross-functional projects. The successful candidate will serve as a trusted partner, driving forward strategic initiatives, streamlining operational processes, and enabling interdepartmental collaboration.

Key Responsibilities



Manage complex calendars, schedule meetings, and arrange travel for senior executives. Prepare agendas, take minutes, and ensure timely follow-up for key meetings. Draft, edit, and manage high-level communications, reports, and presentations. Serve as a liaison between the executive office and both internal teams and external stakeholders. Handle sensitive information with a high level of confidentiality and discretion.

Project Coordination



Plan, implement, and track organisational projects across clinical, administrative, and business development functions. Define project scopes, timelines, resource allocations, and deliverables. Coordinate cross-functional teams to meet project goals on time and within budget. Monitor project progress, identify risks or delays, and propose corrective actions. Conduct research and prepare briefings to support informed executive decision-making.

Operational Support



Develop and refine internal systems and processes to drive efficiency. Maintain and manage systems for document control, task tracking, and reporting. Provide support for event planning, audits, and internal policy updates as required.

Required Skills & Experience



Demonstrated experience as an Executive Assistant, Project Coordinator, or similar administrative role. Strong organisational and project management skills, with the ability to manage multiple priorities. Excellent verbal and written communication skills. High proficiency in Microsoft Office Suite and tools such as Asana, Trello, or MS Project. High degree of professionalism, emotional intelligence, and discretion. Self-starter with the ability to work independently in a dynamic and evolving environment.

Desirable Qualifications



Experience in healthcare, or mental health services. Familiarity with compliance standards such as HIS, GDPR, or clinical governance frameworks. Formal training or certification in project management.
