We're hiring a highly organised and proactive Executive Assistant to support the Founder of a fast-growing entertainment and media company. This role is ideal for someone who thrives in fast-paced creative environments but has a love for order, planning and precision.
You'll be the person who keeps everything on track. From managing schedules and communications to building workflows and ensuring deadlines are met, you'll bring structure and calm to a business that moves quickly and creatively.

Key Responsibilities
Executive Support
Manage the Founder's calendar, meetings, travel and daily priorities.
Oversee email correspondence and draft replies that reflect the brand's tone and professionalism.
Prepare meeting notes, briefs and follow-up actions to ensure accountability.
Maintain discretion at all times when handling confidential information.
Organisation and Workflow
Build and maintain systems that track projects, deadlines and deliverables.
Keep production and content timelines up to date and chase progress when needed.
Help create clear, repeatable processes for shoots, partnerships and launches.
Spot gaps in organisation and suggest practical improvements.
Project Coordination
Support the rollout of campaigns, podcast episodes and live events.
Liaise with internal producers, editors and external partners to keep everyone aligned.
Coordinate logistics, schedules and communication to make sure projects stay on track.
Administration
Maintain well-organised digital folders for contracts, NDAs, brand decks and assets.
Track invoices and key financial dates without managing full accounts.
Ensure documents are stored and signed correctly and can be easily found later.

Skills and Experience
Minimum three years' experience as an Executive Assistant, Project Coordinator or similar role.
Experience in media, entertainment or creative industries is preferred.
Strong written and verbal communication.
High level of proficiency with Google Workspace and project-management tools such as Notion or ClickUp.
Demonstrated ability to handle multiple priorities and tight deadlines.
Reporting Structure
Reports directly to the Founder and works closely with the creative and production teams to keep operations running smoothly.
