The Executive Assistant will provide high-level administrative support to the Director. This role requires exceptional organisational skills, discretion, and the ability to manage multiple priorities effectively. The Executive Assistant will serve as a key point of contact for both internal and external stakeholders, ensuring the smooth operation of the executive's daily activities.

The ideal candidate will be flexible and adaptable, with a positive, can-do attitude and a friendly demeanour. They will be able to work under pressure when required and adapt quickly to changing priorities throughout the day.

Responsibilities

Manage executive schedules, including meetings, appointments, and travel arrangements Demonstrate an understanding of office operations and provide assistance across various functions as required Prepare and organise documents, reports, and presentations for meetings Act as a liaison between the executive, staff, clients, and external stakeholders Handle confidential information with the utmost discretion Oversee correspondence, including email, phone calls, and mail Coordinate and manage special projects as assigned by the executive Anticipate executive needs and provide proactive support Assist with occasional light personal tasks, such as booking personal appointments or handling minor errands Prepare high-value proposals and quotations using the provided written guidance Assist with human resources activities as required
Qualifications

Proven experience as an Executive Assistant or in a similar administrative role Exceptional organisational and time-management skills Strong written and verbal communication skills Proficiency in office software, including the Microsoft Office Suite Proficiency in QuickBooks is preferred Ability to work independently and manage multiple tasks under tight deadlines High level of professionalism and discretion Bachelor's degree preferred; relevant experience will be considered Ability to adapt quickly to new systems and software tools
