About the Role.
We're looking for an exceptional Executive Assistant to provide high-level support to our Chief Executive Officer (CEO) and Executive Team during a maternity cover period.
This is an exciting opportunity for a proactive and highly organised individual to work closely with senior leadership, ensuring seamless day-to-day operations and supporting key strategic initiatives.
In this fast-paced and dynamic role, no two days will be the same. You'll be managing complex schedules, coordinating high-profile meetings, handling travel arrangements, preparing reports, and ensuring the smooth running of the Executive Office. You will also act as a key liaison point between the CEO and both internal and external stakeholders.
We're looking for someone who thrives under pressure, maintains the highest levels of professionalism, and can handle sensitive information with discretion. You'll need to be highly adaptable, able to juggle multiple priorities, and demonstrate impeccable attention to detail.
This role is based in Paddington, London and will require full-time in-office presence.

Key Responsibilities.
Manage complex and ever-changing schedules for the CEO and Executive Team, ensuring seamless coordination of meetings, appointments, and travel.
Act as the primary point of contact for internal and external enquiries, serving as a gatekeeper while maintaining positive and professional relationships.
Prepare high-quality reports, presentations, and documents aligned with corporate branding and standards.
Coordinate and organise executive off-sites, SLT meetings, and board-level events, including managing logistics and ensuring all materials are prepared in advance.
Handle confidential information with discretion, ensuring the highest standards of professionalism and trust.
Provide administrative support for Non-Executive Directorships held by members of the Executive Team, including distributing board papers and managing correspondence.
Support special projects and initiatives, working across departments to ensure success.
Mentor and provide guidance to the Team Assistant, promoting a high-performance and collaborative culture.
What we are looking for.
Our ideal candidate will have:
Extensive experience as an Executive Assistant, ideally supporting C-suite/board-level executives.
Outstanding organisational and time management skills, with the ability to prioritise effectively in a high-pressure environment.
Strong communication skills, with the ability to build trust and credibility with senior stakeholders.
High levels of emotional intelligence, discretion, and professionalism when handling sensitive information.
A proactive, self-motivated, and adaptable approach to problem-solving.
Proficiency in Microsoft Teams, Outlook, Word, PowerPoint, and Excel.
Experience coordinating board-level meetings and events, with strong minute-taking and reporting skills.
