Are you an organised and proactive professional looking for a dynamic role where you can make a real impact?

We are seeking an experienced

Executive Assistant

to provide high-level administrative support to both our

Global Head of Program Solutions

and

Global Operations Director

.

This role is a 10-month Fixed Term Contract to be based in London!


In this pivotal role, you will act as a gatekeeper, liaison, and organiser, ensuring their time is optimised and operations run seamlessly. You will collaborate with internal and external collaborators, managing confidential information and assisting with the coordination of special projects and events.



How you'll make an impact

Organisation & Time Management

Manage schedules, co-ordinate and prioritise appointments and requests. Handle complex and dynamic calendar scheduling, travel arrangements, visas and logistics. Process monthly expenses/invoices. Support with planning of and preparation for key activities for management meetings and team events Work with the events team in coordinating conferences Work alongside the marketing/comms team as the need arises Maintain budgeting spreadsheet

Administration

Responsible for new starter set up and introductions - including administrating set up Responsible for supporting the Execs in team management including: + Holiday approval for team + Absence balance for the team
+ Volunteering days
+ Team planning
+ Act as a point of contact for the team

Information Management

Maintain confidential information and documentation, ensuring appropriate accessibility and accuracy. Assist in information gathering and preparation of summaries / collation of data.

This role requires a high level of organisation, discretion, and the ability to work collaboratively across teams. If you are diligent and thrive in a fast-paced environment, we'd love to hear from you!



About You



English and Maths GCSE or equivalent Educated to A-Level standard or equivalent (desirable) A proven track record of providing Executive level support. Comfortable working autonomously and across multiple tasks. Excellent interpersonal and communication skills. Able to operate with diplomacy, tact and emotional intelligence. Experience of handling confidential and sensitive information with discretion and integrity. Excellent problem solving skills and an outstanding communicator at all levels. Confident handling sophisticated travel itineraries. Eligible to work in the UK
