The Executive Assistant (EA) is responsible for providing highly organised, confidential administrative support to the CEO, and to a lesser extent the CFO and CPO, as well as occasional support to the wider Executive Leadership Team.
This role combines diary and travel coordination with responsibility for the smooth day-to-day running of the Maidenhead office. It requires strong organisational skills, sound judgement, and the ability to manage shifting priorities in a fast-paced environment.
A key focus is the proactive management of busy diaries and travel plans, ensuring executives are well-prepared, their time is optimised, and logistics are handled accurately.
Key responsibilities:
Executive Support
Act as the first point of contact on behalf of the CEO -- managing incoming communications by phone, email, and in person with discretion and professionalism.
Provide proactive diary and inbox management for the CEO and Directors, ensuring priorities are understood and time is used effectively.
Clarify priorities and diary commitments with the CEO on a frequent basis, ensuring smooth transitions and preparation between meetings.
Organise internal and external meetings & liaising with shareholder EA's, prepare draft agendas, and ensure all logistics are confirmed in advance.
Office & Operational Support
Oversee office management responsibilities at the Maidenhead office, including maintenance, supplier coordination, facilities, supplies, and meeting rooms.
Maintain People records (e.g., holidays, absences) for the executive team using internal systems.
Liaise with internal teams and external suppliers to ensure a professional and welcoming working environment.
Meetings, Travel & Events
Organise and manage monthly Board meetings in liaison with Shareholder EA's, including the preparation and distribution of Board packs, minute-taking, and tracking of follow-up actions for internal Executive meetings.
Arrange travel itineraries for Directors, including flights, trains, accommodation, transfers, and full briefing documentation.
Coordinate company events and conferences, including venue sourcing, catering, AV requirements, and logistics.
Ensure timely and accurate submission of expenses and mileage claims for Directors.
Professionalism & Proactivity
Handle highly confidential and sensitive information with integrity and sound judgement.
Anticipate the needs of the CEO and Directors to ensure they are well briefed and prepared.
Suggest and implement improvements to administrative systems and processes to enhance efficiency.
What / who we're looking for:
Essential Experience
Proven experience in a PA/Executive Assistant role, including supporting C-level executives.
Demonstrated expertise in complex diary and inbox management.
Experience organising high-level meetings, Board packs, and formal minute-taking.
Confident with event coordination and multi-stakeholder planning.
Experience in office management or facilities coordination.
Comfortable supporting more than one executive simultaneously.
Desirable
Background in or exposure to the IT or technology sector.
Experience working with senior leadership teams or Boards.
