Role & responsibilities:





We are seeking a highly organised and proactive individual to join us on a

12-month fixed-term contract

covering maternity leave. This role will provide vital support to senior executives and play a key part in ensuring smooth operations across the business.



Key Responsibilities:




Provide proactive and strategic diary management for the Chairman, Chief Growth Officer & Chief Business Officer ensuring efficient scheduling and gatekeeping Deliver ad-hoc personal assistance to senior executives as required Act as a key liaison with external stakeholders, ensuring clear and timely communication on behalf of the Executives Manage and adapt to last-minute changes in calendars and priorities Organise comprehensive travel arrangements - including booking flights, accommodation, trains, visas, and taxis Lead the planning and execution of conferences, away days, and events Coordinate large-scale internal and external meetings, including preparing agendas, collating presentation materials & formatting PowerPoint decks Support the delivery of the Monthly All Hands meeting ensuring all content is collated and distributed in a timely manner Manage executive expense reconciliation, credit card statements, and the end-to-end process of raising purchase orders and tracking invoices Collate and prepare presentation materials for the Quarterly All-Agency Town Hall Working closely with the London Office team, supporting our Head of House with office management of the London office Act as the Chair of the Social & Well-being Committee - responsible for the planning and delivery of all employe social, and well-being initiatives, including the Summer & Christmas parties. Always ensuring inclusivity for remote and international colleagues Ah-hoc support for wider Exec team where required



Qualifications and experience:



Proven experience supporting senior executives in a fast-paced environment, preferably at C-suite level. Exceptional diary and calendar management skills with strong attention to detail. Excellent organisational and multitasking abilities, able to prioritise and adapt to changing demands. Strong communication skills, both written and verbal, with the ability to liaise confidently with internal and external stakeholders. Experience managing complex travel arrangements and event coordination. Proficient in Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint. Ability to maintain confidentiality and handle sensitive information with discretion. Proactive, resourceful, and able to work independently as well as part of a team. Previous experience with office management and vendor coordination is desirable. A positive attitude with a strong commitment to fostering employee engagement and well-being.
